SFCS is currently seeking a dependable, highly organized, and service‑oriented Receptionist & Office Administrative Assistant to join our Roanoke office. This role serves as the first point of contact for visitors, clients, and employees while also providing administrative and operational support to leadership and office teams. The ideal candidate will demonstrate exceptional attention to detail, strong communication and organizational skills, professionalism, discretion, and a proactive approach to supporting daily office operations in a fast‑paced environment.
This position’s responsibilities include, but are not limited to, the following:
Duties & Responsibilities
- Serve as the primary front desk and office support contact, greeting visitors, vendors, and clients while maintaining a professional and welcoming environment.
- Maintain a neat, organized, and professional reception area and lobby.
- Answer, screen, and route incoming phone calls promptly and professionally.
- Monitor front and service door activity and maintain secure office access.
- Receive, sort, and distribute mail, packages, and deliveries. Prepare and send outgoing mail (letters, packages, overnight deliveries, etc.).
- Manage and maintain comprehensive and accurate records, files, and documentation.
- Process expense reports and assist with timesheet management for Managing Principals and leadership team members.
- Organize meetings and conference room schedules, including reminders, technology setup, and catering arrangements as needed.
- Arrange travel and accommodations for Managing Principals and leadership team members.
- Draft and prepare emails, memos, meeting notes, reports, correspondence, and other administrative documents.
- Track and maintain office supply inventory; proactively place orders and maintain organized supply and common areas.
- Maintain shared calendars for meetings, PTO, business travel, and office events.
- Track business travel within shared project logs.
- Coordinate company vehicle reservations, mileage logs, maintenance schedules, and service appointments.
- Coordinate building maintenance requests and vendor services as needed.
- Provide general administrative and logistical support to Human Resources, Leadership, Operations, and Office Leaders.
- Assist with special projects and additional administrative functions as needed.
Required Skills & Abilities
- Excellent verbal and written communication skills.
- Excellent organizational skills, attention to detail, and follow‑through.
- Strong knowledge of office administration, clerical procedures, and recordkeeping systems.
- Strong multitasking abilities and the capacity to manage competing priorities in a fast‑paced environment.
- Proficiency in Microsoft Office Suite, Adobe Acrobat, and related office software.
- Strong interpersonal skills and a collaborative, service‑focused mindset.
- Ability to lift approximately 15‑25 pounds at a time.
Education & Experience
- High school diploma required;
Associate’s or Bachelor’s degree in Business Administration or a related field preferred. - Minimum of 2 years of professional administrative, receptionist, office support, or related experience preferred.
- Experience supporting leadership teams or executive‑level staff is a plus.
