Position: Administrative Assistant / Logistics Coordinator

Roanoke, VA

Pay Range: $18 - $21 per hour

Position Summary

The Administrative Assistant & Logistics Coordinator provides administrative, shipping, logistics, and customer service support. This position is responsible for coordinating freight shipments, maintaining office records, supporting payroll and personnel functions, communicating with customers and vendors, and ensuring efficient day to day office operations. The ideal candidate is organized, detail oriented, and able to manage multiple priorities in a fast paced environment.

Essential Duties and Responsibilities Logistics & Shipping Coordination
  • Ensure Bills of Lading (BOLs) are completed accurately and trucks are scheduled before noon.
  • Coordinate freight shipments and deliveries.
  • Verify shipping addresses, customer contacts, and receiving hours.
  • Communicate shipment updates and tracking information to customers.
  • Research and locate delayed or missing freight shipments.
  • Resolve freight discrepancies, damage claims, missed shipments, and carrier issues.
  • Review freight invoices and ensure charges align with quoted rates.
  • Update freight costs in company systems and distribute revised information to appropriate personnel.
  • Assist sales staff with UPS and LTL freight quotes.
  • Prepare commercial invoices and customs documentation for international shipments to Canada.
  • Receive incoming deliveries and verify quantities and supporting documentation.
  • Manage freight line adjustments and notes for combined shipments.
Administrative Support
  • Maintain organized office filing systems.
  • Answer and direct incoming telephone calls.
  • Close work orders and maintain related records.
  • Keep office supplies stocked and organized.
  • Process incoming and outgoing mail.
  • Greet visitors and provide professional customer service.
  • Clean, archive, and maintain records and files as needed.
Human Resources & Payroll Support
  • Maintain and update employee personnel files.
  • Distribute payroll checks to employees receiving paper checks.
  • Ensure confidential handling of employee information and records.
Communication & Collaboration
  • Work closely with internal departments to resolve shipping and operational issues.
  • Communicate effectively with customers, trucking companies, suppliers, and team members.
  • Coordinate with our of state offices regarding logistics and operational matters.
Required Qualifications
  • High school diploma or equivalent required.
  • Administrative, customer service, logistics, shipping, or office support experience preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency with Microsoft Office Suite, email, and data entry systems.
  • Ability to manage multiple tasks while maintaining accuracy and attention to detail.
  • Professional and customer-focused demeanor.
  • Ability to work independently and as part of a team.
Physical Requirements
  • Ability to sit, stand, and walk throughout the workday.
  • Ability to lift and carry office supplies and packages up to 25 pounds occasionally.
  • Ability to use computers, phones, and standard office equipment regularly.
