The Project Implementation Specialist plays a key role in driving projects from initial quoting through successful completion. This position supports project execution by coordinating timelines, documentation, vendors, billing, and internal teams while serving as a primary point of contact for customers and stakeholders. You’ll help ensure projects are delivered on time, within scope, and with exceptional attention to detail—while contributing to process improvements and mentoring junior team members.

• Collaborate with internal teams to define project scope and prepare accurate quotes
• Develop and maintain project schedules, timelines, and tracking reports
• Coordinate subcontractors and vendors; obtain estimates and special pricing
• Serve as the primary point of contact for project communications
• Prepare and manage project documentation including proposals, reports, submittals, and closeout packages
• Process orders, track shipments, and provide timely updates to stakeholders
• Coordinate installations, startups, and pre‑commissioning activities
• Manage project closeouts including as‑builts, warranties, photos, and final documentation
• Review vendor invoices and support billing accuracy
• Assist with customized invoicing and retainers
• Mentor junior team members
• Identify risks and communicate issues proactively
• Maintain organized project files and records
• Support continuous improvement initiatives

• 2–4 years of experience in project coordination, implementation, procurement, or similar roles
• Experience supporting projects in technical or vendor‑managed environments preferred
• Strong organizational and problem‑solving skills with high attention to detail
• Excellent written and verbal communication skills
• Experience with project management systems (Zoho or similar a plus)
• Understanding of procurement, billing, invoicing, and vendor coordination
• Ability to manage multiple priorities in a fast‑paced environment
• Strong customer service mindset
• Collaborative, team‑oriented approach
