Compass Connections is a Texas‑based non‑profit that provides residential care, community‑based support, foster care, and adoption services to vulnerable children and families. We are seeking a bilingual Medical Services Administrative Specialist to support the medical team and maintain accurate health records for our service population.

Responsibilities
  • Meet all federal and state regulatory guidelines applicable to the position.
  • Communicate effectively with Certified Nurse Practitioner, RN Manager, and other medical staff regarding patient care and act as a liaison between medical and residential services divisions.
  • Maintain electronic medical records and the federal Medical Portal.
  • Assist with daily MAR audits, ensuring proper documentation and reporting medication errors to the RN Manager.
  • Compile and distribute daily medical lists to designated staff.
  • Support the medical intake process in collaboration with other medical staff.
  • Keep health‑care records confidential in accordance with HIPAA, PHI requirements, and Compass Connections confidentiality protocols.
  • Adhere to scheduled hours, remain available for on‑call, evening, weekend, and holiday work as requested.
  • Apply positive behavior management techniques, including verbal redirection, deescalation, and containment.
  • Identify signs of abuse, neglect, exploitation, and sexually provocative behavior, and implement reporting and documentation procedures.
  • Show compassion toward children, ensuring cultural sensitivity.
  • Participate in scheduled meetings and team decisions.
  • Plan, organize, and prioritize daily work using sound judgment.
  • Follow Compass Connections safety protocols, including evacuation procedures.
  • Ensure adherence to the agency’s professional and ethical standards outlined in the employee handbook.
  • Complete all referrals and orders initiated by a Certified Nurse Practitioner and schedule specialty appointments.
  • Attend on‑site medical appointments in the exam room with the Certified Nurse Practitioner (initial exams, sick calls, follow‑ups).
  • Assist with translation of verbally reported medical histories and transcribe all written documentation into electronic medical record platforms.
  • Perform all administrative duties of the clinic or designated site(s) per federal policies.
  • Administer and execute assigned medical services, including medication administration and well‑ and sick‑child visits.
  • Complete accurate documentation in line with agency policies and regulatory requirements.
  • Meet predetermined deadlines for program and federal partners.
Requirements
  • Fluency in English and Spanish.
  • High school diploma or equivalent (preferred: degree in Community Health or Medical Services).
  • Current BLS certification (PALS preferred);
    First Aid and CPR.
  • Minimum two (2) years of professional administrative experience in a health‑care setting, including medical scribe or documentation specialist experience and bilingual transcription.
  • Pass a pre‑employment drug screen, random drug screens, and biennial criminal background checks.
  • Proof of work eligibility status upon request.
  • Mandatory immunization record with MMR, Varicella, HepB, HepA, Tetanus, PPD, and optionally Meningococcal.
  • Annual influenza vaccination required.
  • Demonstrated ability to respond sensitively to cultural and socioeconomic characteristics of the service population.
  • Collaborative teamwork skills with staff, providers, and professionals.
  • Strong oral and written communication in English.
  • Ability to work in a fast‑paced environment, maintain emotional control, and make decisions based on program needs.
  • Computer literacy with EMR platforms.
  • Ability to work independently and under minimal supervision as part of a multidisciplinary team.
  • Knowledge of Compass Connections policies and procedures.
  • Physical ability to perform extensive walking, lifting, stretching, and bending.
