Elementary School Secretary
Schedule is Monday
- Friday 8AM-4PM on the school calendar. This is an hourly position starting at $16/hour depending on experience.
Reports to:
Campus Principal
The Elementary School Secretary serves as a welcoming presence and key support to the mission of the Catholic school. This position provides administrative, clerical, and customer service support while fostering a faith-filled, organized, and respectful school environment rooted in the values of the Gospel.
Mission Alignment
The Elementary School Secretary supports the Catholic identity of the school by modeling Christian values, promoting a spirit of hospitality, and contributing to a community centered on faith, service, and academic excellence.
Essential Duties and Responsibilities
Front Office & Hospitality
Welcome students, parents, visitors, and guests with warmth, professionalism, and Christian hospitality
Answer and direct phone calls, emails, and inquiries in a courteous and timely manner
Serve as the first point of contact, reflecting the school's Catholic mission and values
Student Support & Pastoral Care
Assist students with daily needs, including passes, messages, and general support
Support basic health room procedures and communicate with families as needed
Respond with compassion and discretion to student and family concern
Administrative & Clerical Support
Provide administrative assistance to the principal, faculty, and staff
Maintain accurate student records, attendance, and enrollment files
Prepare correspondence, bulletins, forms, and reports as directed
Assist with scheduling, calendars, and coordination of meetings and school events
School Operations
Support the planning and coordination of liturgies, faith-based events, and special programs
Order and maintain office supplies and resources
Assist with standardized testing days, registration, and school-wide initiatives
Follow diocesan, school, and accreditation policies and procedures
Confidentiality & Compliance
Maintain confidentiality of student, family, and personnel information
Uphold all diocesan safe environment policies and procedures
Qualifications
High school diploma or equivalent required
Prior experience in an administrative or school office setting preferred
Practicing Catholic preferred, or willingness to support and uphold the mission of the Catholic Church
Proficency in office technology and software, including student information systems
Strong organizational, communication, and interpersonal skills
Personal Characteristics
Demonstrates Christian values such as respect, compassion, patience, and integrity
Professional, welcoming, and service-oriented demeanor
Ability to multitask and work effectively in a fast-paced school environment
Commitment to teamwork and collaboration within a faith community
Work Environment
School office environment with frequent interaction with students, families, and staff
May require standing, sitting, and light lifting throughout the school day
