Position: "Administrative Assistant – Leadership Support (Hybrid | Rochester, MN)"

Location: Rochester, MN (Hybrid)

Work Arrangement: Hybrid – Candidates must reside within 100 miles of Rochester, Minnesota and be available for occasional onsite support based on business needs.

About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to senior leadership within a large, professional services environment. This role will partner closely with another administrative professional to support department leaders and ensure smooth day-to-day operations.

The ideal candidate is proactive, adaptable, and capable of managing multiple priorities while maintaining a high level of professionalism, confidentiality, and accuracy. This position requires strong organizational skills, excellent communication abilities, and a customer-service mindset.

Key Responsibilities
  • Manage complex calendars, scheduling, and coordination of meetings across multiple stakeholders.
  • Organize and coordinate travel arrangements, itineraries, accommodations, and related logistics.
  • Support meeting preparation, including agenda creation, document preparation, presentation materials, and follow‑up activities.
  • Process invoices, expense reports, reimbursements, and related administrative documentation.
  • Draft, edit, format, and manage correspondence, reports, and other business documents.
  • Provide administrative support for departmental initiatives, projects, and special assignments.
  • Create and maintain spreadsheets, databases, reports, web pages, and other business records as needed.
  • Coordinate events, leadership meetings, and departmental activities.
  • Respond to phone calls, emails, and inquiries while ensuring timely follow‑through.
  • Maintain confidentiality when handling sensitive business and personnel information.
  • Utilize multiple business systems and office technologies simultaneously while ensuring accuracy and efficiency.
  • Proactively identify administrative needs and implement solutions that improve productivity and effectiveness.
Qualifications
  • High school diploma required;
    Associate's or Bachelor's degree in Business Administration, Office Administration, Healthcare Administration, or a related field is preferred.
  • Minimum of 2 years of experience in an administrative support, executive assistant, coordinator, or related role.
  • Demonstrated experience managing calendars, coordinating meetings, preparing business documents, and supporting leadership teams.
  • Experience coordinating travel arrangements and managing expense reporting processes.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other business software applications.
  • Strong organizational, interpersonal, customer service, and communication skills.
  • Ability to prioritize competing responsibilities and adapt quickly in a fast‑paced environment.
  • Exceptional attention to detail and commitment to accuracy.
  • Demonstrated ability to exercise sound judgment, discretion, and confidentiality.
  • Strong command of English grammar, punctuation, and professional business communication.
  • Recent administrative support experience within the last ten years is preferred.
Eligibility Requirements
  • Must be authorized to work in the United States without current or future employer sponsorship.
  • Must reside within 100 miles of Rochester, Minnesota.
  • Ability to work in a hybrid environment and attend onsite meetings as required.
