Responsibilities- Greet and welcome visitors in a courteous and professional manner
- Answer, screen, and forward incoming phone calls
- Manage the reception area and maintain a tidy and welcoming environment
- Receive, sort, and distribute daily mail and deliveries
- Schedule appointments and meetings, and maintain calendars
- Assist with various administrative duties such as data entry, filing, scanning, and copying
- Maintain office supplies inventory and place orders as needed
- Support other departments with general administrative tasks as required
- Ensure confidentiality and security of company information
- Occasionally flex standard work schedule to ensure adequate coverage due to co-worker absences
- High school diploma, GED, or equivalent education
- Minimum of 2 years of proven experience in a receptionist or administrative role
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Proficiency in Microsoft Office Suite
- Can-do attitude with willingness to learn and support the agency
- Ability to create a welcoming environment for all visitors, callers and staff
- Ability to manage difficult or emotional customer situations
- Ability to handle multiple tasks and work independently while maintaining confidentiality
