Responsibilities

Must live within 100 miles of the Rochester campus or be willing to relocate.

May have direct supervisory responsibility for hospital operations staff. Possesses a strong working knowledge of hospital operations. Is adept at leading initiatives and teams focused on achieving operational excellence. Is an integral member of the leadership team who focuses on the overall management of strategic priorities across work areas and specializes in accelerating performance and optimizing patient transfer/placement operations. Responsible for planning, implementation, evaluation and optimization of strategic hospital optimization initiatives.

Responsible for identifying training needs and partnering with leadership to solution. Coaches and mentors staff and develops high performing employees through training and succession planning. Ensures timely communication to stakeholders. Accountable for educating and training staff to effectively manage key performance metrics. Accountable for developing and implementing workflow solutions to optimize hospital operations. Works with multi-disciplinary leaders and work groups to develop, coordinate and evaluate the implementation of short and long range plans for standardization and process improvement.

Facilitates project management and utilizes strategic planning methodologies while leading multi-disciplinary teams. Develops policies and procedures, and partners with management team to ensure communication, education, and compliance. Must solve complex problems including those involving physicians, nurses, and other multidisciplinary team members along with ensuring standard operating procedures are developed, implemented and followed. Develops business requirements for reports and systems. Possesses strong technical aptitude and functional knowledge of the work being performed within a work area.

Proactively manages strategic relationships by collaborating with leadership, administrators, nursing, consulting staff front-line staff, and other hospital operations colleagues.

The Hospital Operations Coordinator-Business Continuity Practice serves as a key partner in advancing emergency preparedness, business continuity, and operational resilience across Mayo Clinic Hospital – Rochester. This role provides leadership for hospital preparedness activities with a primary focus on Emergency Department readiness and multiple/mass casualty incident planning.

Working closely with clinical, operational, and administrative leaders, the coordinator supports the development, implementation, and ongoing evaluation of emergency preparedness and business continuity strategies to ensure continuity of patient care and hospital operations during disruptions. Responsibilities include facilitating preparedness planning, leading training and exercises, supporting regulatory compliance, coordinating improvement initiatives, and strengthening partnerships across the organization and with external response agencies.

The position also provides operational support to the Multiple/Mass Casualty Incident Subcommittee and serves as a resource for hospital leaders in identifying risks, enhancing readiness, and advancing a culture of preparedness across Mayo Clinic Hospital - Rochester.

Qualifications

Bachelor's degree with 10 years of experience in healthcare or customer service field, 3 years of which include supervisory experience; or an Associate's degree with 12 years of experience in healthcare or customer service field, 3 years of which include supervisory experience; or high school diploma/GED with 15 years of experience in healthcare or customer service field, 4 years of which include supervisory experience.

Call center operations and patient scheduling and/or placement experience is strongly preferred. Experience partnering with nursing leaders and other practice division or department leaders strongly preferred. Ability to use technology and data to monitor and optimize operations is needed. Experience leading staff in a call center within the last three years is preferred. Must have working knowledge of project management concepts and applications;

expertise in consensus management, assessment and allocation of staffing resources, continuous improvement methodology and customer service. Demonstrates team building and leadership skills, and the ability to motivate and energize others while initiating and managing change in the implementation of new programs is required.
