Position Summary
Inkling is seeking a reliable and detail-oriented part-time Bookkeeper to manage our daily financial operations and project accounting. This is a critical mid-level role responsible for ensuring our “books-to-tax” pipeline is seamless. You will manage the full cycle of accounts payable and receivable, project-specific financial closeouts, and collaborate with our external CPA for payroll and year-end compliance.
Essential Duties- Accounts Receivable & Billing :
Generate and send client invoices; monitor aging reports and follow up on collections to ensure healthy cash flow. - Expense Management: Track and categorize all business expenses; manage vendor payments and reconcile credit card statements. Collaborating with employees to ensure individual expense reports and corporate cards are fully reconciled.
- Payroll & CPA Coordination: Utilize our CPA firm to manage payroll processing and provide necessary documentation/reports to our CPA for tax planning and audits.
- Project Closeout: Work closely with project leads to reconcile project-specific budgets, ensuring all costs are captured and projects are financially “closed” in the system accurately.
- Bank Reconciliations: Perform monthly reconciliations of all bank accounts to ensure 100% accuracy.
- Financial Reporting: Prepare monthly Profit & Loss and Balance Sheet reports for management review.
- Experience : 2–4 years of professional bookkeeping experience (Full Charge experience preferred).
- Software
Proficiency :
Must be tech-savvy. Experience with Google Suite is a major plus; proficiency in Quick Books Online is required. - Project
Mindset :
Experience with “Project Accounting” or job-costing (knowing how to allocate expenses to specific projects) is highly desirable. - Education: Associate’s or Bachelor’s degree in Accounting, Finance, or Business preferred.
- Location: Must be based in or near Rochester, NY, with the ability to come into the office (1-2 days per week or a few days per month as needed for physical filing or team meetings).
