This position provides comprehensive administrative support to the World Languages & Cultures Department, serving faculty, adjuncts, staff, and students. The role operates under the general supervision of the Department Chair with significant independence in managing inquiries, facilitating departmental operations, and ensuring efficient communication between students, faculty, and college offices.
Key Responsibilities Department & Student Support- Acts as the primary contact, responding to inquiries from students, faculty, parents, and college departments.
- Assesses student needs, provides guidance on advisement and registration, and resolves concerns related to academic policies.
- Processes course registrations, placement level and prerequisite overrides, and academic overload requests.
- Manages the Department Chair's calendar, scheduling meetings and appointments.
- Transmits departmental policies to faculty.
- Assists new full-time and adjunct faculty with onboarding, system access, HR procedures, and departmental protocols.
- Prepares department meeting agendas and minutes, gathers faculty input, and arranges meeting rooms.
- Organizes logistics for annual department functions, professional workshops, and recognition ceremonies, including securing materials and refreshments.
- Provides accurate information on college and departmental policies to faculty, staff, and students.
- Collaborates with other academic offices to ensure compliance with academic procedures and coordinates student support.
- Assists in budget planning, monitors departmental expenditures, and prepares budget justifications.
- Processes purchase orders, oversees deliveries and installations, and manages inventory for office supplies and educational materials.
- Maintains records retention for final exams, grades, and attendance for adjunct-taught courses.
- Assists in the College Now - Dual Enrollment program for World Languages & Cultures.
- Supports the hiring processes for faculty and adjuncts, including job postings and interview scheduling.
- Other duties as assigned by the department chair.

Required Qualifications
- Must currently hold the civil service title of Secretary II or be on the current eligible list for this title, OR meet the following minimum qualifications to be eligible for a provisional appointment, if offered:
- Graduation from high school or possession of an equivalency diploma, plus EITHER:
- (A) Graduation with an Associate's degree; OR,
- (B) Successful completion of at least thirty (30) college semester credit hours, plus one (1) year paid full-time or its part‑time equivalent office clerical or secretarial experience*; OR,
- (C) Two (2) years paid full-time or its part‑time equivalent experience as defined in (B) above.
- Graduation from high school or possession of an equivalency diploma, plus EITHER:
- Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

Hours:
8:45 am to 4:45 pm, Monday through Friday
Salary: $40,991.65 annually. Eligible for an increment increase after 6 months of service.
