Position Summary
The Legal Coordinator will provide a variety of administrative and project services, including general administrative support services for members of the Legal Department, namely, the SVP, General Counsel, Beer Division, and SVP, General Counsel, Wine & Spirits Division. This role will report directly to the SVP, General Counsel, Beer Division, and will also provide administrative services to the VP, Regulatory and the VP, Corporate Compliance.
Job Description
A successful candidate will be a tech‑savvy, creative, self‑motivated individual, with the initiative to learn new tasks and contribute to the success of the team. Competence working in a remote environment, as well as balancing the needs of four busy corporate executives is a must. This role is expected to be on‑site three or more days per week.
Responsibilities- Coordinate calendars and resolve meeting conflicts for the SVP, General Counsel, Beer Division, and the SVP, General Counsel, Wine & Spirits Division
- Coordinate, plan, and schedule travel and itineraries for certain Legal Department personnel in accordance with corporate policies and procedures
- Prepare and process letters, Fed Ex and similar correspondence, including monitoring mailroom deliveries
- Prepare and process expense reports using Concur
- Prepare and process quarterly legal accruals for outside counsel spend
- Assist with planning and presentation of monthly legal all‑hands meetings
- Process invoices through Ariba, which includes expediting invoices as needed, coordinating with accounting and finance to resolve reclass issues, and with tracking invoices against budgets
- Create, maintain and update information in matter management system and other databases
- Search and retrieve correspondence or documents from matters, saving correspondence and documents in the appropriate format in a timely and accurate manner, and running reports from matter management system
- Assist with preparing reference materials, training guides/manuals, presentations, etc.
- Work on various projects for leadership, regulatory, corporate compliance, and other legal matters.
- Assist with the announcement of, implementation, and monitoring of policies, trainings, procedures, and practices for corporate compliance team
- Track information in various databases and generate reports as needed
- Complete and coordinate quarterly litigation process, which includes requesting and obtaining updates internally and externally regarding accruals, reserves
- Leverage the following systems:
Legal Files, Ariba, hCue
- 2‑4 years of advanced administrative/office support (experience in a legal environment strongly preferred)
- High School diploma required
- Four‑year college degree or paralegal certificate preferred
- Extensive Microsoft Office applications (Word, Excel, PowerPoint, & Outlook) experience and skills including advanced knowledge of settings and shortcuts
- Ability to work independently with minimal supervision and collaborate in a team environment
- Excellent time management skills and ability to multi‑task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Experience with tracking databases preferred
- Must be able sit and/or stand for long periods of time, and work on a computer for extended periods.
- Ability to lift up to 25 lbs. regularly.
- Must have a valid driver’s license.
- Must be at least 21 years of age.

$29.65 - $43.56
