Job Summary

The Office Coordinator reports to the HR Manager and will be responsible for overseeing day-to-day operations, ensuring a clean, safe, and organized workspace.

Job Responsibilities
  • Greet visitors, answer phones, and direct inquiries professionally and efficiently
  • Support company events, meetings, and gatherings, including scheduling, catering, setup, and cleanup
  • Manage office supply inventory, including ordering and restocking supplies, snacks, beverages, and equipment
  • Serve as the main point of contact for vendors, facilities, and property management regarding office needs and building issues
  • Assist with onboarding tasks such as preparing workspace setups, coordinating keys/phones/computers, and ensuring new hires have needed supplies
  • Help coordinate internal communication, announcements, birthday cards, and celebrations
  • Manage the company’s social media presence by creating content, scheduling posts, and monitoring engagement across platforms
  • Provide general administrative support to managers and departments as needed
  • Conduct regular walkthroughs to ensure the facility is clean, organized, and safe
  • Coordinate maintenance requests and track any needed repairs or updates
  • Ensure common areas (conference rooms, breakrooms, reception) stay stocked and presentable
Job Requirements
  • Associates or Bachelors degree in Business Administration, Marketing, Communications or a related field or equivalent experience
  • Strong organizational skills with the ability to multitask and prioritize
  • Excellent verbal and written communication
  • Proficiency in Microsoft Office Suite and ability to learn new systems quickly
  • Strong sense of initiative, attention to detail, and follow‑through
  • Ability to work independently and collaboratively in a fast‑paced environment
  • Prior office administration or office management experience preferred
