Office Administrator/ Coordinator, Admin Assistant
Office Administrative Assistant (No-Nonsense, Get-It-Done Role)
Rochester, New York (NOTA) $20/hour Monday–Friday | 7:30 AM – 4:00 PM
About the JobThis is not a corporate office job. No happy hours. No team-building exercises. No fluff. This is a small, family-run oil company where people show up, do their work, do it right, and go home. If you like structure, staying busy, and being the person who keeps things running smoothly, then you'll do well here! If you need hand-holding, constant feedback, or a polished office environment, this is not your place.
TheSituation
You'll be supporting a very busy office lead who currently handles everything, and she needs someone reliable to help manage the workload. Mistakes in this role are costly. Attention to detail isn't "nice to have" - it's everything.
What You'll Be Doing- Answering phones (customers call in orders, you need to be comfortable picking up the phone)
- Monitoring email first thing in the morning for urgent orders
- Entering orders into an older system
- Making sure the right product goes to the right customer, every time
- Coordinating next-day delivery routes with drivers
- Helping prioritize deliveries based on location (Buffalo/Syracuse/Binghamton)
- Working with both commercial and residential customers
- You show up on time. (7:30 AM start is non-negotiable)
- You pay attention to details. (seriously, this is the job)
- You're not afraid to answer the phone
- You can follow a process and stick to it
- You're reliable, when you're out, things pile up fast
- Small team: office + warehouse + drivers
- Industrial setting, you will walk through the warehouse to get to your desk
- It smells like oil/gas (just being honest)
- Dress code: jeans, sneakers, practical clothes, this is not a dress-up office
- Steady, consistent workload (this is a full 40-hour week)
- Repetitive in a good way; you'll learn the system and get into a rhythm
- Old-school admin work: phones, orders, accuracy
- Someone who likes a predictable, structured day
- Someone who takes pride in getting things right
- Someone who doesn't need a "culture," just a solid job
- Someone who wants to come in, do their work, and go home
- Someone who avoids phone calls
- Someone who struggles with detail or accuracy
- Someone looking for a polished, modern office environment
