Job Location:
220 Hutchison Rd, Rochester, New York, 14620
Work Schedule:
Mon – Fri, 7:00 AM – 3:30 PM. Full time, 40 hours per week.
- Provide extensive administrative support to a department and serve as principal assistant to leadership roles.
- Perform advanced, complex assignments independently, including accounting and budget related tasks.
- Provide leadership and direction to support staff; supervise up to two staff members, assign work, train, and conduct performance evaluations.
- Process highly confidential information, manage confidential matters, and exercise independent judgment with limited supervision.
- Prepare and review reports, documents, and minutes of meetings; coordinate travel and project timelines for administrators.
- Maintain office management systems, calendars, and conference room schedules; coordinate use of meeting rooms and special events.
- Develop and establish procedures and schedules to meet departmental operational needs; maintain required records and reports of activities.
- Prepare data for operating budgets, financial reports, analysis, and expense allocation; coordinate expenditures, property controls, and orders for space, equipment, supplies, and services.
- Act as liaison between leadership, faculty, staff, students, visitors, and external agencies; establish and build positive working relationships.
- Coordinate and develop informational materials, presentations, and communications of departmental publications.
- Other duties as assigned.
- Associate's degree and 3 years of progressively responsible experience in administrative support, or equivalent combination of education and experience.
Skills and Abilities
- Proficiency with Microsoft Office Suite, File Maker Pro, virtual collaboration tools (Zoom, Box), Adobe, and related software.
- Knowledge of office procedures, database entry, customer service, public relations, math principles, mailing and distribution, training, leadership, budget administration, inventory and supply maintenance, and event planning.
- Effective verbal and written communication with diverse audiences.
- Intermediate to advanced hardware and software functionality knowledge (preferred).
