Minimum Requirements:
Graduation from high school or possession of an equivalency diploma, plus EITHER: (A) Graduation with an Associate's degree or successful completion of at least sixty (60) credit hours from a college or university; OR, (B) Two (2) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR, (C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above.
* Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.

You must pay the required evaluation fee. This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title. At a future date (within one year of permanent appointment), employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status.
You will not have to take an exam to gain permanent competitive status.

Qualifications:
The primary responsibility of the Principal's Secretary is to provide support to the principal and other administrative staff. In this role, the secretary handles bookkeeping functions involving the capital budget, school budget, and activity funds. Because this position requires regular interaction with staff, students, parents, and the community, the secretary must be flexible and able to work through frequent interruptions. This is a 12-month position that involves handling confidential information.
Summary/Responsibilities
Administrative & Office Operations
- Reception & Communication: Greet visitors, answer phones, and direct parent/community inquiries
- Calendar & Scheduling: Manage the principal's calendar, building calendars, and staff observations
- Clerical Support: Handle filing, copying, faxing, and prepare correspondence, agendas, and brochures
- School Events & Mailings: Coordinate building events and compile "Back to School" mailings
- Student Services: Manage honor roll records, mail merges, academic awards, and student testing
- Teamwork: Delegate project tasks and collaborate closely with the clerical team
- Student Discipline Tracking: Maintain monthly suspension, ATS, and ISS letters in Drive folders
Financial & Budget Management
- Budget Tracking: Partner with the principal to manage the school budget, run reports, and monitor department spending limits
- Procurement: Process purchase orders (POs), change orders, and District Central Stores orders via WINCAP
- Discrepancies & Payments: Complete Discrepant Material Reports (DMR) for order errors and process student fees through My School Bucks
- Treasury: Serve as the Building Central Treasurer and handle all related compliance
Human Resources, Payroll & Absences
- Hiring & Onboarding: Post jobs, review candidates, schedule interviews, and process new hire paperwork
- Staff Records: Maintain up-to-date staff folders, phone lists, and onboarding checklists
- Payroll & Stipends: Manage building payroll, extra work forms, and leadership/committee stipends
- Absence Tracking: Log short/long-term staff absences and back up the substitute assignment system
Systems & Specialized Support
- Professional Development: Create proposals and log staff attendance in Frontline
- Software Proficiency: Utilize EHall Pass, Report Manager, WINCAP, Frontline, and Infinite Campus
- Specialized Logistics: Process Medical Management Plans (MMPs), book sign language interpreters, and archive Superintendent hearing recordings
