Title: Dispatch Specialist
Position OverviewThe Dispatch Specialist is responsible for customer order acceptance and lead dispatching activities within the Wholesale & Commerce fuels division. They manage inventories at company and customer locations to ensure supply continuity, participate in product purchasing when needed, and provide weekly reporting to the Senior Director of Wholesale Fuels.

- Perform lead dispatch duties for external customers in the commercial/wholesale and dealer divisions, as well as for internal customers and bulk plant operations.
- Monitor the dispatch phone and fuel order e‑mail inbox Monday‑Friday 7am‑5pm, and participate in a weekend dispatch rotation.
- Enter and dispatch all fuel orders through the company’s dispatch system, including same‑day orders, inventory management, bids, and sales.
- Communicate order status to sales reps and customers.
- Update and maintain contact lists for all carrier information.
- Provide same‑day sourcing for all same‑day loads and backup sources as needed.
- Secure spot purchases below the lowest available cost on favorable market days.
- Maintain relationships with carriers and explore new suppliers or customer opportunities.
- Manage inventory levels at corporate bulk plants, transport, dealer, and corporate‑operated c‑stores.
- Process carrier setup requests, including paperwork and confirmation of completion.
- Update the master terminal/carrier spreadsheet with current loading codes.
- Monitor carriers to ensure correct sources are lifted and billback for cost increases caused by incorrect sourcing or ancillary charges.
- Report carrier errors/issues to the Supply & Distribution Manager.
- Track dispatch metrics and provide weekly reports to the Supply & Distribution Manager.
- Participate in product purchasing to maintain supply and reduce costs.
- Associate’s or Bachelor’s degree plus 2 years’ work experience preferred.
- Strong organizational skills and ability to work in a structured environment.
- Detail‑focused and able to manage multiple tasks.
- Advanced analytical skills.

- Dispatch daily accuracy tracking – zero negative issues caused by improper dispatching.
- Monitor and report runouts, incorrect sources, and missed price updates.
- Percentage of loads booked versus orders received – track timeliness and thoroughness of calls.
- Weekly summary reports of issues and loads lost.
Employee is frequently required to sit, hear, use hands to type data, operate business equipment, dial the telephone, talk, and stand, walk, sit, and lift up to 30 lbs.
