Key Responsibilities Position Overview
Provide high-level executive administrative support to the CEO, COO, CFO, and limited support to the Executive Chairman (former CEO). This role is heavily focused on calendar management, executive coordination, meeting planning, travel arrangements, presentation support, and maintaining strict confidentiality.
Executive Support- Provide primary support to:
- CEO
- COO
- CFO
- Executive Chairman (limited support)
- Serve as liaison between executives and internal/external stakeholders.
- Manage executive communications and follow-up items.
- Assist with maintaining executive relationships with direct reports and key business partners.
- Complex calendar management for multiple C-suite leaders.
- Prioritize meetings and protect executives' time.
- Assess meeting necessity and assist with scheduling efficiencies.
- Coordinate availability across executives and stakeholders.
- Support executives in managing competing priorities and requests.
- Coordinate business travel, including:
- Flights
- Hotels/accommodations
- Ground transportation
- Detailed travel itineraries
- Prepare agendas and materials for onsite and offsite meetings.
- Support monthly CFO meetings attended by approximately 25-30 participants.
- Ensure meeting logistics, scheduling, and planning details are organized and executed effectively.
- Create and update PowerPoint presentations and executive presentation frameworks.
- Utilize existing presentation templates and build out additional content and supporting materials.
- Work closely with executive direct reports to gather information and presentation components.
- Ensure executives have necessary materials for meetings and presentations.
- Process executive expenses through Concur.
- Track and manage expense reporting accurately and timely.
- Previous Concur experience preferred but not required.
