The LMS System Administrator is responsible for the administration, governance, validation, and continuous improvement of the organization’s Learning Management System (LMS) within a highly regulated environment. This role serves as the system owner, ensuring the LMS operates in a validated state, supports global regulatory requirements (including FDA, TGA, NSF, and other applicable regulatory bodies), and maintains inspection readiness at all times.

The role also supports Learning & Development operations to ensure effective training delivery, accurate assignment, and full compliance across the organization.

RESPONSIBILITIES LMS Administration, Validation & Compliance
  • Serves as system owner and primary administrator of the LMS, managing system configuration, user roles, workflows, and integrations.
  • Maintains the LMS in a validated state, including managing system upgrades, patches, and releases in alignment with validation requirements.
  • Leads validation activities, including development and execution of validation documentation and periodic reviews.
  • Owns validation lifecycle activities, including documentation and testing, ensuring full traceability from system requirements through verification and compliance evidence.
  • Owns change control for system updates and enhancements, including impact assessments, risk evaluations, and required documentation.
  • Ensures compliance with global regulatory requirements governing electronic records, electronic signatures, and training documentation.
  • Maintains audit trails and system records to ensure data integrity, traceability, and inspection readiness.
  • Serves as SME during regulatory inspections and internal/external audits; supports responses to audit observations and corrective actions.
  • Partners with Regulatory to ensure alignment with enterprise quality systems and regulatory expectations.
Training Administration & LMS Operations
  • Manages LMS operations, including course setup, curricula, training assignments, learning paths, and user administration.
  • Maintains training records, course catalog, and user data to ensure accuracy, completeness, and compliance.
  • Coordinates training programs, including onboarding, GMP/compliance training, and enterprise learning initiatives.
  • Maintains training schedules and supports logistical planning, communications, and materials management.
  • Ensures proper version control and maintenance of training materials, including updates and archival of obsolete content.
Data Integrity, Reporting & Reconciliation
  • Tracks training completion, qualifications, and compliance metrics; generates reports for leadership and regulatory review.
  • Utilizes advanced Excel skills to reconcile LMS data against HRIS records, identifying discrepancies and ensuring employees are accurately assigned and completing required training.
  • Performs routine audits of training data to maintain accuracy, completeness, and compliance across systems.
End-User Support & L&D Coordination
  • Manages the Learning & Development shared mailbox, responding to employee inquiries and resolving LMS-related issues in a timely manner.
  • Provides troubleshooting support for system access, training assignments, and user issues.
  • Tracks and maintains employee certifications, ensuring accurate entry, renewal tracking, and reporting.
  • Supports onboarding processes by tracking progress and notifying stakeholders of training completion status and delays.
