Job Title: Clinical Program Coordinator, Communication Sciences and Disorders Clinic
Status: Non‑Exempt Full‑time, 12 month schedule
Wage Grade: 720
Reports To: Clinic Director
OverviewProvides administrative support to members of the undergraduate and graduate Communication Sciences and Disorders clinic.
Job Duties- Answers phone calls, greets visitors and provides a warm welcome while meeting the needs of students, faculty members, clients and others working in, or receiving services in the clinic.
- Creates, updates, and maintains a variety of reports related to clinic operations, client services, assessment, interventions, student clinical hours, student payroll and others.
- Performs data entry and maintenance of the client information database to ensure prompt and accurate client invoicing and registration.
- Oversees student workers as needed, providing direction and support as necessary. Assigns projects, creates schedules, communicates expectations and provides administrative support for student workers as needed. Oversees time tracking and approves time for student workers.
- Maintains and reports on clinic budget concerns, expenses, clinic payments and grants. Reconciles P‑card accounts as assigned and updates budget and other expense spreadsheets.
- Orders needed supplies, enters work orders, and resolves issues with custodial or other facilities staff.
- Provides support to those using the CALIPSO student management system, inputs data and retrieves reports or other information as needed.
- Audits each semester students’ clinical contact and observation hours. Prepares individual Records of Undergraduate and Graduate Hours and Knowledge and Skills Acquisition forms for graduating undergraduate seniors and second year graduate students.
- Coordinates with various insurance companies, Medicaid, and Medicare for client payment, ensuring privacy and confidentiality is maintained to HIPAA standards.
- Logs and maintains spreadsheets tracking clinician‑required training such as BBP, HIPAA, and background checks.
- Manages audiology equipment calibration and maintenance calendars.
- Plans and coordinates special events such as guest speakers, trainings, and other events.
- Updates the department website and social media channels as needed and provides ongoing oversight to ensure accuracy of information.
- Cross‑trains with administrative support duties for the academic program and fills in on essential duties as necessary.
- Other duties as assigned.
- 1–3 years of demonstrated experience providing administrative support.
- Excellent computer skills with a working knowledge of Microsoft Office products, database principles and ability to learn and adapt to new technology.
- Ability to work with frequent interruptions, limited supervision, prioritize work, and meet deadlines with a high degree of detail orientation and accuracy.
