Job Title
Works proactively under general guidance of the County Clerk, Chief Deputy, or Office Manager within the County Clerk's Office. Under close supervision performs specialized clerical work relating to all administrative functions (including but not limited to: delinquent taxes, Tax extension, elections, vital records and claims) within any area of the County Clerk's Office.
Job FunctionsDelinquent Taxes/Tax Extensions:
- Collects payments, authorizes time extensions, and issues receipts for delinquent taxes (Real Estate/Mobile Homes)
- Enters relevant information and maintains record keeping system on mobile home parks, Township Assessor's, and mobile home owners, including:
- New mobile homes
- Certificate of Errors
- Corrections: new owner, square footage changes, wrong mobile home year
- Mobile home-removal, destroyed or vacant
- Maintains records of bankruptcy, Enterprise Zone(s), Bonds, and Certify TIF's
- Compiles information regarding "Tax Buyer Sale in Errors", previous year's tax searches, special assessments, and prepares documents for County Clerk sign off on "Plats"
- May participate as directed in Rock Island County tax sales
- Performs Vital Records and Elections as needed
Vital Records Related Duties:
Cash register programming and operations
- General Office Clerical Support Duties:
- Processes claims in New World System
- Sorts, stuffs and distributes vouchers
- Prepares monthly reports (Summary & Spread Sheets)
- Answers the telephone and transfers calls to appropriate extensions
- Types letters, list, etc.
- Issues receipts, sorts and delivers mail; answers all incoming and outgoing mail, answers telephone.
- Each Rock Island County employee is responsible to engage in periodic activities that include, but are not limited to: (a) County-wide risk management/safety training, and (b) departmental educational training, and/or (c) evaluation/physical improvement of departmental physical assets that prevents, reduces, or corrects safety hazards.
