Job Description Summary
EXPECTATIONS AND NATURE OF THE POSITION
The Workforce Instructional Assistant plays a key role in supporting the college's workforce education and training initiatives. This position is responsible for coordinating workforce clinical training, serving as a contact for employer partners, and assisting instructors with class preparation and delivery. The role also supports employer and community engagement, helps promote continuing education offerings, and provides comprehensive administrative and data management support, including scheduling, and records maintenance.
By working closely with faculty, staff, students, and industry partners, the Workforce Instructional Assistant helps ensure that programs run smoothly, meet both student and employer needs, and provide high-quality learning experiences for participants under the supervision of the Director of Workforce Development.
It is expected that this individual will accomplish assigned duties in an efficient, effective, competent manner and strive for improvement and excellence in all work performed. Additionally, this individual must understand the comprehensive role of the community college and cooperate and work harmoniously with college personnel and the public. This individual will follow all college policies, rules, regulations and guidelines as they relate to this position
PRIMARY DUTIES AND RESPONSIBILITIES FOR WHICH THIS INDIVIDUAL IS ACCOUNTABLE
1. Assist instructors in preparing for upcoming classes by organizing instructional materials, setting up classrooms or labs, and ensuring equipment and supplies are available.
2. Track and maintain schedules of workforce training/clinical sessions, ensuring alignment with instructor availability, employer needs, and facility usage.
3. Support registration and onboarding of company-sponsored participants, including verifying eligibility, processing rosters, and assisting with testing requirements.
4. Draft a variety of documents, such as reports, presentations, contracts, and instructional handouts.
5. Manage files and maintain accurate records (both electronic and physical) related to workforce programs.
6. Order, inventory, and manage instructional supplies and materials.
OTHER
DUTIES AND RESPONSIBILITIES:
7. Cooperates with other Western personnel on various institutional undertakings as necessary.
8. Performs other duties as required.
Minimum Qualifications
MINIMUM QUALIFICATIONS (Education, Experience, Knowledge, and Abilities)
1. One year of hands-on experience within the field of the Workforce Development courses they are assisting to teach.
2. Knowledge of the concepts, technologies, principles and practices of current industry operations.
3. Ability to establish and maintain effective working relationships with students, staff and administrators.
4. Ability to exercise sound judgment in all facets of the student-teacher relationship and to teach a diverse group of community college students.
5. Demonstrated effective verbal and written communication skills.
Equivalency Statement
For those who do not exactly meet all the minimum qualifications, an equivalent combination of education and experience which has provided comparable knowledge and abilities may be acceptable.
Preferred Qualifications
PREFERRED ADDITIONAL QUALIFICATIONS (Knowledge, Abilities,
Education and Experience )
1. Prior teaching or training experience is highly desirable.
2. A college degree or certificate in a relevant field is desirable.
3. Possession of current industry-accepted certifications (MSHA, OSHA, HAZWOPR, CPR/First Aid, etc.) is a plus.
4. Possession of Commercial Driver's License is desirable.
