Sirius Staffing is seeking a Medical Scheduling Coordinator for a possible temp-to-hire opportunity in Rockford, IL. This role is responsible for coordinating appointments between clients, physicians, and examinees while ensuring all client-specific requirements are met. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and provides exceptional customer service through professional communication and efficient scheduling practices.

Key Responsibilities
  • Schedule and coordinate examinations using company scheduling systems.
  • Confirm appointment dates and times with physician offices and medical providers.
  • Communicate with clients, physicians, and examinees regarding appointments, cancellations, reschedules, and no-shows.
  • Track and confirm receipt of medical records, imaging, and documentation needed for evaluations.
  • Prepare and distribute appointment notification letters and related correspondence.
  • Coordinate ancillary services, including interpreters, chaperones, transportation, lodging, and exam site rentals when required.
  • Respond to inquiries regarding appointment status, report status, and scheduling updates.
  • Process client invoices and submit charges to accounting when applicable.
  • Ensure required pre-payments are received before services are provided.
  • Assist with incoming and outgoing mail, shipments, and office support functions.
  • Provide support to other departments and offices as needed.
  • Participate in training and professional development activities.
Qualifications
  • High School Diploma or GED required.
  • Previous experience in scheduling, customer service, healthcare administration, call center, medical office, or office support preferred.
  • Ability to manage multiple phone lines and a high volume of inbound and outbound calls.
  • Strong computer skills and proficiency with Microsoft Office and database systems.
  • Minimum typing speed of 35 words per minute.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to prioritize tasks and work independently with minimal supervision.
  • Ability to maintain confidentiality and professionalism at all times.
  • Positive attitude and commitment to teamwork.
