Office Administrator/ Coordinator
Are you a curious, detail-oriented person who thrives on variety? TAC Rockford is looking for a part-time intelligent, efficient Versatile Office Assistant to join our team.
Founded in 1991, we are a family-owned company serving global manufacturing giants — including Boeing, SpaceX, Apple, and NASA. We operate out of a beautifully renovated 1900s-era building where curiosity is a requirement and questions are always encouraged.
What Your Day Will Look LikeThis role is for someone who enjoys wearing many hats. You won't be stuck behind a desk; you will be an integral part of the office, the warehouse, and the production floor.
- Logistics & Sales Support:
Enter customer orders, prepare quotes, and maintain proactive customer follow-up. - Professional Communication:
Act as the first point of contact by answering phones with a helpful, professional demeanor to direct inquiries and assist clients. - Bookkeeping Support:
Assist with accounts payable/receivable and other tasks using Quick Books. - Packing & Shipping:
Physically prepare shipments and navigate logistics through UPS, Fed Ex, and other carriers. - Production & Inventory:
Gather components for assembly (kitting), perform incoming inspections, and keep inventory accurate. - Workspace Stewardship:
Take pride in our environment by assisting with organization and light cleaning to keep operations running professionally. - Marketing & Admin:
Assist with mailings, website updates, or creative graphic design projects as needed.
- Strong Communication:
Professionalism in person, on the phone, and in writing. - Technical Aptitude:
Computer proficiency with the ability to learn software quickly. - Physical Agility:
Ability to move between office and warehouse environments and lift up to 35 lbs. - Organization: A "knack" for keeping both physical spaces and digital files orderly.
- Reliability:
While we offer flexibility within business hours, a consistent weekly schedule is required.
- Familiarity with business documents (POs, quotes, invoices).
- Prior experience in an office or technical/mechanical environment.
- Experience with Quick Books accounting software.
- Experience with international shipping or suppliers.
- An Associate or Bachelor's degree is strongly preferred.
This position is part-time and in-person. Compensation is based on skills and experience. As a part-time role, the Versatile Office Assistant position is not eligible for benefits.
