About the Role
Our client (located in the Western Chicago suburbs) is seeking a dynamic, resourceful Executive Assistant / Office Manager to support the C‑Suite and broader organizational culture. Reporting to the CEO, this dual‑role position blends high‑level executive administrative support with workplace experience responsibilities.
The ideal candidate brings a proactive mindset, exceptional organizational skills, and prior experience supporting C‑suite executives in a fast‑paced, multi‑time‑zone environment.
Key Responsibilities- Provide executive administrative support to senior leadership including calendar management, travel arrangements, itinerary preparation, expense reports, and administrative partner communication
- Coordinate the in‑office experience including events and meetings with investors, clients, tenants, vendors, and team members
- Manage office organization, cleanliness, aesthetics, and oversee snack, catering, and wellness initiatives
- Coordinate off‑site and on‑site team events including special guest visits, team meetings, social gatherings, and company lunches
- Handle general administrative duties including phones, mail distribution, and ongoing office support
- Sustain positive relationships with suppliers, building management, and vendors
- Support new‑hire orientations and guest office tours
- Ensure adherence to office security, health, and emergency protocols
- Assist with preparation of insurance documents, lease amendments, assignments, license agreements, and vendor contracts
- Complete research assignments on various legal matters and review, upload, and code legal invoices from vendors
- Maintain corporate entities, register new entities as needed, and manage the corporate insurance policy database
- 5+ years servicing C‑level executives as an executive assistant and/or office manager
- Excellent time management with the ability to prioritize competing requirements
- Strong responsiveness to internal and external stakeholders
- Proven discretion when handling sensitive material
- Strong professionalism and excellent verbal and written communication
- Proficient in Microsoft Outlook, Word, Excel, and Power Point
