SCOPE OF POSITION/
SUMMARY:
The Administrative Support Specialist will focus on processing quotes and customer orders for large mechanical equipment (salt spreaders, dump bodies, all-purpose bodies, or anti-icing machines) as well as additional support for other functions. This individual will assist in maintaining efficient administrative workflows and play a vital role in ensuring excellent customer service. The Administrative Support Specialist will work closely with the Inside Sales team, external customers, and various internal departments.
ESSENTIAL DUTIES & RESPONSIBILITIES include the following; other duties may be assigned:
- Support the Inside Sales department by entering and updating sales orders and quotes as well as support other internal functions
- Communicate with customers regarding pricing, delivery timelines, order status, and any changes.
- Prepare and process customer purchase orders, invoices, shipping documents, and proposals with accuracy and timeliness.
- Respond to customer inquiries, providing product information or directing them to the appropriate team member.
- Promote order discounts and promotions to customers.
- Coordinate with engineering on product specifications and materials for customer quotes.
- Assist in resolving customer concerns, working with relevant departments to ensure satisfaction.
- Monitor and manage change orders and update all stakeholders accordingly.
- Collaborate with production, shipping, and warehouse teams to follow up on deliveries and resolve delays.
- Support general office functions including answering phones, checking in visitors, and signing for deliveries.
QUALIFICATIONS & REQUIREMENTS:
- 1+ years of experience in an administrative, sales support, or customer service role
- High school diploma or GED equivalent required
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to read and understand specifications, blueprints, and schematics is a plus
- Strong math, organizational, and communication skills
- Detail-oriented with the ability to multitask in a fast-paced environment
