Executive Assistant

Performs administrative and office support activities for the Vice President of Human Resources. This position requires a strong commitment to confidentiality. Essential duties and responsibilities include compiling and recording minutes into clear concise reports, appropriately handling confidential matters, making travel and meeting arrangements, preparing professional reports and financial data, tracking and maintaining department budgets, managing department procurement card and reporting, assisting with federal and state report preparation, serving as backup for payroll processes and Human Resources Information Analyst, and FOIA requests, maintaining accurate knowledge of college-wide resources, preparing and submitting invoices, spreadsheets, reports, memos, letters, financial statements, requisitions for disbursements, independently preparing professional responses to correspondences, interpreting policies and procedures, arranging conferences and committee meetings, attending functions and meetings during times other than the normal business day, directing visitors, fielding phone calls, multi-tasking various office support services, assisting applicants with employment information, completion of forms, and answering general job vacancy questions, preparing monthly Board personnel report, monitoring new employee paperwork for completeness, coordinating and maintaining the VP of HR schedule and assisting with email management, maintaining employee personnel files and HR filing systems, assisting with employee program activities, and serving on committees as needed.

Regular attendance is expected. The ability to establish and maintain effective relationships with persons contacted in the course of work is required.

Ability to accurately deal with difficult dictation, perform difficult clerical tasks, use independent judgment to solve problems, keep information confidential, interact with people from diverse backgrounds, use effective oral and written communications skills, work with a diverse population, use advanced skills in Microsoft Office Suite software, and possess transcription skills. Minimum qualifications include an associate degree in business or related field, bachelor degree preferred, 12-24 months of related experience in an administrative assistant position, human resources office experience preferred, and clerical and supervisory/administrative experience beyond minimum requirements preferred.
