Job Functions:
Dispatch/Driver Management
- Ensure strict compliance of all local, state, and federal regulations such as weight restrictions, permits, hazardous materials, and hours of service.
- Manage Company DOT compliance within operational areas, including drug and alcohol testing, driver log management, truck inspections, medical certificates, licensing, and violations.
- Maintain awareness of driver movements through regular communication and adapt to delays and issues on the road.
- Coordinate business with drivers and customers to optimize revenue, minimize transit time, and satisfy customer needs.
- Ensure equipment (trailers, chassis, containers, etc.) is utilized efficiently and all equipment is accounted for.
- Identify tasks being performed and categorize them as pre-pulls, street turns, drops, pulls, drop and hooks, ensuring accurate recording in the Company system.
- Coordinate real-time changes to operational plans with drivers and customers so all stakeholders are aware of updates.
- Oversee communications related to specialty load boards, keeping customers and drivers informed of relevant developments.
- Proactively identify operational issues and implement corrective action plans.
- Respond to unforeseen issues involving drivers, routes, customers, and equipment with corrective action plans.
- Continuously monitor rates while overseeing drivers and operational plans to ensure contracted payout accuracy within company standards.
- Contact customers regarding any additional charges resulting from the operational plan.
- Manage accident coordination, including instructions for drug and alcohol testing, towing, clean-up, re-power, load coordination, and reporting.
- Collaborate with stakeholders (customer service, payroll clerks, dispatch, and management) to address questions, formulate operational plans, resolve problems, and process service or equipment requests.
- Determine necessity, arrange for, and authorize repairs of equipment to restore service and schedules.
- Generate rates and manage customer service by contacting steamship lines, storage, supplemental carriers, and other cost centers with accessorial charges that may impact company cost and customer rates.
- Coordinate delivery times to consignees from the shipper or steamship line.
- Monitor and be familiar with zone/book rates specific to the assigned area to provide accurate rate quotes.
- Utilize rail/port websites to track equipment whereabouts and timing for US Customs and equipment compliance.
- Maintain up-to-date and accurate US Customs codes for imports, exports, and reservation numbers.
- Ensure movement of all import/export shipments within operational responsibility complies with US Customs requirements.
- Update load and manifest statuses within the Company system, identify and resolve discrepancies.
- Verify accuracy of driver, customer, company, and customs information, identifying, addressing, and resolving inconsistencies.
