Job Summary
The Executive Assistant to the CEO provides high-level administrative, organizational, and strategic support to the Chief Executive Officer. This role requires exceptional discretion, professionalism, attention to detail, and the ability to manage competing priorities in a fast-paced executive environment. The Executive Assistant acts as a trusted partner to the CEO, ensuring smooth daily operations and effective communication across the organization.
Essential Duties And Responsibilities- Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements
- Coordinate internal and external meetings, including preparing agendas, materials, presentations, and follow-up actions
- Serve as a primary point of contact between the CEO and stakeholders (team members, board members, clients, partners)
- Draft, edit, and manage correspondence, reports, presentations, and other executive documents
- Compile data reports and drive follow up activity on behalf of CEO and Executive team
- Effective calendar scheduling through discerning key business priorities and performance indicators
- Handle confidential information with discretion and professionalism
- Organize and support executive meetings, including board meetings and leadership sessions
- Drive effective meetings including prep material creation and distribution
- Track action items and ensure timely follow-up on key initiatives
- Manage expense reports, invoices, and budget-related documentation
- Assist with special projects and strategic initiatives as assigned
- Maintain organized digital filing systems
- Coordinate company events and executive engagements when required
- Support other members of the executive team for meeting preparation and presentations
- Supervise Executive Assistant who oversees the operations of the office
- Assist CEO and Executive team in elevating key business relationships through advanced planning and event scheduling
- Bachelor’s degree or equivalent work experience, 3–5+ years of experience supporting C-level executives or senior leadership
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- High level of discretion and confidentiality
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools
- Ability to prioritize tasks and adapt to changing demands
- Strong problem-solving skills and proactive mindset
- Experience supporting a CEO or Executive Team
- Project coordination experience
- Familiarity with CRM or project management systems
- Event planning experience
- If you are tasked to drive as a part of this role, then it is required that you have a clean driving record and a current Driver's License that is not suspended or expired.
- Must be able to lift up to 15 pounds at times.
