SUMMARY DESCRIPTION

Under general supervision from an assigned manager, performs a broad range of administrative duties in support of an assigned area, including accounting, budget management, instructor onboarding, outreach, class scheduling and monitoring, and activity and event planning and logistics. Provides confidential information and assistance to District staff, students, and the public, and undertakes special tasks and projects as required.

REPRESENTATIVE DUTIES
  • Produce correspondence, forms, handbooks, and other materials; order and monitor office supplies; coordinate service or repair of office equipment; update intra‑net items; reserve district vehicles and arrange travel.
  • Greet, receive, and screen office visitors, mail, email, and telephone calls in a sensitive and culturally inclusive manner; refer matters to appropriate staff; respond to questions, complaints, and requests; compose written responses; generate and disseminate communications.
  • Maintain schedules for assigned manager(s); coordinate and schedule meetings, activities, and events; manage audiovisual or presentation equipment needs and support.
  • Assist employees with technology issues (e.g., Zoom/Teams, software applications); direct users to resources; provide recommendations for technical solutions.
  • Collect, research, verify, summarize, record, and evaluate information; prepare and distribute narrative, statistical, and financial reports; verify and review forms and reports for completeness.
  • Establish and maintain filing systems (electronic, cloud‑based, hard copy, confidential); input data into databases.
  • Process faculty, classified, student, and temporary employee time sheets; calculate stipends; prepare substitute paperwork; generate faculty pay reports; monitor leave requests.
  • Assist in budget administration; prepare and manage assigned budgets using the District’s Banner Enterprise Resource Planning system; process budget transfers, invoices, contracts, reimbursements, and requisitions; track purchases; reconcile budgets.
  • Coordinate and prepare grant reports; maintain grant financial documents; meet audit requirements.
  • Assist with building and adjusting class schedules; track curriculum changes; manage class enrollment data; recommend class additions or cancellations.
  • Plan, coordinate, and monitor non‑credit classes and special programs; research potential courses; present to management for approval; analyze enrollment and revenue opportunities.
  • Coordinate classroom utilization across divisions; reserve and release room schedules; arrange on‑site and off‑site facilities.
  • Assist with student conduct or grievance issues; partner with District staff and Community Safety as needed.
  • Plan and coordinate special events; manage event logistics; track budgets and expenditures.
  • Process faculty performance evaluations; compile confidential student comments; support campus closures and emergency procedures.
  • Attend meetings and trainings; support committees; prepare agendas, minutes, and background materials.
  • Provide general work training, guidance, and supervision assistance; direct activities of students, temporary employees, or District staff.
  • Perform related duties that support the overall objective of the position.
Minimum Qualifications Education/Training
  • Completion of the twelfth grade or General Educational Development (GED) plus college level coursework in business administration, accounting, or a related discipline.
Experience
  • Three years of increasingly responsible administrative and clerical experience.
Knowledge of
  • Accounting, budget preparation, and administrative support procedures, including procurement, contract processing, business writing, filing system maintenance, and record keeping.
  • Sierra College operations and the assigned division/department.
  • Class and program planning and scheduling procedures.
  • Communication, marketing, and public outreach practices.
  • Basic HTML coding for website updates.
