Let's be honest: most front desk job postings read like they were written by a fax machine. This one won't, because this isn’t like most jobs. We need builders, not employees.
Elevate Orthodontics is a small, tight-knit practice — which means you won't be cog #47 in a corporate machine. You'll be one of a handful of people who are the patient experience. When someone walks through our door nervous about braces, you're the reason they walk out feeling like they just joined something. No script. No "your call is important to us" energy.
Just you, being genuinely great with people, all day.
We're looking for a self-starter in the truest sense — someone who sees the gap in tomorrow's schedule before we do, who doesn't need to be told the waiting room coffee is out, and who treats "wow the patient" as a personal standard, not a poster on the wall.
What you'll actually do:- Run the front of house. Greet every patient like you've been waiting for them (because you have — it's on the schedule). Answer phones, check patients in and out, and keep the front desk and reception area looking as sharp as our smiles.
- Own the schedule. This is the engine of the practice and you're driving it. Build, adjust, and protect the daily calendar; fill gaps before they happen; make confirmation calls; and report on schedule flow at our morning huddles. - Handle billing and fee presentation. You'll sit down with patients and families to walk through treatment fees, payment options, and financial arrangements — clearly, confidently, and without the awkwardness. You'll also post payments, keep financial records reconciled, and follow up on accounts. If you can talk money with warmth and zero mumbling, you're our person.
- Keep the records tight. New patient registration, HIPAA paperwork, insurance details, chart updates — accurate, current, and complete. Small office, no safety net, high standards.
- Be the connective tissue. Flag scheduling issues to the doctor and team, coordinate lab deliveries with appointments, prep daily charts, and generally make sure the whole operation hums.
- Self-starters. If you wait to be told what to do, you'll be waiting alone — we're all busy wowing patients.
- People-people. You genuinely like humans, including the anxious ones, the chatty ones, and the 13-year-olds who definitely did not wear their elastics.
- Detail freaks. Schedules, charts, and dollars only work when they're exactly right.
- Grace under fire. Phones ringing, patients at the desk, doctor with a question — you stay composed and keep smiling.
- Straight shooters. You can take feedback, give a heads-up when something's off, and keep confident without fail.
- High school diploma or equivalent required
- Dental or orthodontic front office experience preferred; practice management software experience a big plus
- Comfortable with standard office tech (computers, phones, MS Word/Excel)
- Full-time, on-site — this is a not-sedentary, on-your-feet, in-the-mix role
- Compensation based on experience
Because in a small practice, your work is visible. Patients know your name. The doctor knows what you bring to the table. And when a kid gets their braces off and can't stop grinning at their reflection, you were part of that — from the first phone call to the final payment plan.
