Job Summary

Under general supervision from an assigned manager, the Student Services Technician performs program, technical, and administrative duties to support student services. The role provides students, district staff, and the public with information, training, and assistance related to the assigned service area and performs general program support functions.

Key Responsibilities
  • Serve as the primary point of contact for students, district staff, and the public regarding department services; provide technical information and assistance; explain program applications, policies, procedures, and requirements.
  • Verify and review materials, applications, records, files, and reports for completeness and conformance with established regulations and procedures; collect and process appropriate information.
  • Compile, tabulate, and analyze statistical data; prepare forms, schedules, spreadsheets, and reports; verify accuracy, completeness, and compliance with rules and regulations.
  • Maintain records, files, and record‑keeping systems, including confidential and sensitive information; research and verify information as requested.
  • Coordinate, schedule, and conduct department activities, including campus and community events, orientations, workshops, seminars, presentations, tours, and meetings; arrange and confirm speakers, partners, and resources.
  • Coordinate communication, marketing, and activities with other district departments, educational institutions, governmental and private agencies, and the public.
  • Perform clerical and administrative duties in support of program or department operations; compose and prepare correspondence, materials, reports, forms, brochures, presentations, handbooks, manuals, and information.
  • Review and update technical instructions or references; assist in providing training and direction to others regarding changes and new regulations.
  • Facilitate student outreach, reminders, and support; use case‑management strategies to determine student needs and coordinate communication.
  • Coordinate, plan, facilitate, and distribute services to students (e.g., textbook funds, grants, school supplies, meal cards, bus passes, parking permits).
  • Develop relationships with departments and organizations to enhance opportunities, services, and resources for students.
  • Assist students in preparing and completing student forms, petitions, and certifications; clear registration holds and verify completeness of applications.
  • Provide assistance to and backup co‑workers and other staff within the assigned area as needed.
  • Determine program eligibility; review, process, and assist students with program applications; coordinate onboarding and orientation for programs; track student progress and provide support to maintain eligibility.
  • Perform general clerical accounting duties related to various financial processes.
  • Provide onboarding support, general work training, guidance, supervision assistance, and direct activities of students or temporary employees.
  • Perform related duties that support the overall objective of the position.
  • Minimum Qualifications
    • High school diploma or equivalent (GED) supplemented by college‑level coursework.
    • Two years of increasingly responsible clerical and program support experience involving frequent customer contact.
    • Possession of a California Valid Driver's License or the ability to obtain one within a reasonable timeframe.
    Key Knowledge and Ability
    • Knowledge of operational characteristics, services, and activities of the assigned office and other student service departments.
    • Knowledge of federal, state, and local laws, codes, and regulations regarding support of students (FERPA, ADA, FHA).
    • Knowledge of external and public agencies, services, and resources.
    • Knowledge of marketing, public speaking, and outreach techniques.
    • Basic research methods and data analysis techniques.
