HVAC Bid Coordinator - Estimator

Job Overview

Trane Technologies is hiring a Bid & Proposal Coordinator to support the sales team by coordinating the development and submission of bid and proposal packages for sales opportunities. The role involves reviewing RFPs, RFQs, ITTs, and customer bid documents, identifying requirements, deadlines, and deliverables, and coordinating with sales, estimators, and other team members.

Monday to Thursday onsite with colleagues;
Friday flexible work location based on needs.

• Review RFPs, RFQs, ITTs, and customer bid documents to identify requirements, deadlines, and deliverables.
• Coordinate with sales, estimators, and other team members to collect and document required information.
• Create and maintain bid schedules, checklists, and submission calendars in Salesforce.
• Support post‑bid activities such as follow‑ups to complete the loop successfully in the bid process.
• Assist with continuous improvement of bid processes and tools to support the sales teams.
• Review and identify possible opportunities in different search engines utilized in the business.
• Maintain opportunity/proposal and bid files.
• Run reports and create dashboards that track and support business vision.
• Perform general administrative functions to support the sales process.
• May be responsible for the take‑off and pricing of equipment to ensure accuracy of quantity, size, configuration, voltage, options, etc.
• May prepare, review, and finalize proposals, prepare equipment submittals, and validate equipment selections.

• Experience in HVAC, construction, building systems, mechanical contracting, or industrial sales environments (preferred).
• Experience with Salesforce, bid portals, or document management tools.
• Experience in bid coordination, proposal support, sales support, or project administration.
• Experience reading mechanical plans (plus).
• Experience with HVAC estimation (plus).
• Outstanding professional communication—written and verbal.
• High attention to detail and accuracy.
• Ability to manage multiple requests efficiently.
• Flexibility to work overtime when needed.
• Must be able to travel throughout assigned territory (minimum travel). Must possess a valid driver’s license for a minimum of 12 months with no major traffic violations as specified.

Annual base salary range: $70,400.00–$. Compensation type:
