About the RoleExecutive Assistant – COO
The Executive Assistant to the SVP/COO provides executive, administrative, and development support to the SVP/Chief Operations Officer, the Senior Management Team (SMT), and HR in carrying out the objectives of the credit union.
Essential Functions & Responsibilities Executive Support- Complete a broad variety of administrative tasks for the SVP/COO, including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that may be confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel‑related meetings.
- Work closely and effectively with the SVP/COO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
- Plan, coordinate and ensure the SVP/COO’s schedule is followed and respected.
- Serve as a gatekeeper and gateway, creating win‑win situations for direct access to the SVP/COO’s time and office.
- Act as a bridge for smooth communication between the SVP/COO’s office and internal departments, demonstrating leadership to maintain credibility, trust and support with the senior management team.
- Provide leadership to build relationships crucial to the success of the organization and manage a variety of special projects for the SVP/COO, some of which may have organizational impact.
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
- Prepare reports and presentations.
- Serve as the Supervisory Committee and Credit Committee Liaison.
- Maintain discretion and confidentiality in relationships with all volunteers (e.g., Board, Supervisory Committee).
- Coordinate monthly meetings and lunches.
- Attend meetings and take minutes for the Supervisory Committee & Credit Committee.
- Ensure minutes are complete, accurate, prepared within three days of the meeting date, and signed by the appropriate individuals when approved.
- Provide administrative support to the Supervisory Committee & Credit Committee, including but not limited to: providing meeting notification and securing a quorum; adhering to compliance with applicable rules and regulations set in bylaws regarding board and board meeting matters, including advance distribution of materials before meetings; maintaining volunteer contact information; assisting volunteers with conference registration/reimbursement; assisting volunteers with travel arrangements, lodging, and meal planning as needed;
providing secondary support to the President/CEO and Board. - Perform other duties as needed or assigned by the VP of Human Resources, SVP of Administration, and/or SVP/COO.
Experience: Three to five years of similar or related experience.
Education: A bachelor’s degree or equivalent industry certifications recognized as equivalent to a bachelor’s degree (e.g., information technology certifications in lieu of a degree).

Work involves significant personal contact with others inside and/or outside the organization for first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.

Pay: $57,000 - $67,500 annually, depending on experience and qualifications.
