Job DescriptionWoodmont Properties is seeking an experienced, professional and highly motivated individual to provide Office Administration support to our tenants, team and managing partners.
Essential Responsibilities- Organize, maintain and manage lease and tenant documents in electronic and paper filing systems, including correspondence, certificates of insurance, vendor contracts, court suits and delinquency documents.
- Maintain filing, invoicing and record‑keeping systems; generate reports relating to same in electronic systems.
- With the guidance of office systems and protocol, the candidate will coordinate, assemble and respond to highly confidential and time‑sensitive matters as appropriate.
- Independently manage the collection and organization of payments, financial documents and relevant correspondence in support of Woodmont Properties' business interactions.
- Posting payables, receivables, invoicing, liaise with our internal accounting personnel, and assure that invoices are submitted in accordance to our policies for timeliness and accuracy.
- Manage calendars, schedules, and organize complex file review processes.
- Prepare spreadsheets and Word documents to organize data and share with team members as appropriate.
- Bachelor's degree is preferred
- At least two years experience in Office Administration.
- Strong interpersonal skills and the ability to work with a wide variety of people including an executive team.
- Excellent verbal/written communication and have a professional demeanor.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Professionally and courteously greet and assist visitors in corporate office.
- Applicable professional office experience, preferably in a commercial firm.
- Expertise in MS Word, Excel.
- Produce a daily completion workload and tenant report.
- Ability to handle a high volume of work with minimal supervision while exercising the judgment to appropriately discern when to elevate issues.
- Ability to lead independently and exercise good judgment in potentially difficult situations.
- Excellent communication skills, both oral and written, including the ability to professionally communicate with a wide variety of individuals, respond to inquiries, and provide feedback in a timely manner.
- High level of professionalism, attention to detail, and ability to maintain absolute confidentiality.
- Generally tech savvy and able to learn new skills necessary to keep pace with an ever-changing landscape.
