Position: Advancement Data & Operations Manager

The Academy of the Holy Cross is seeking a detail-oriented, strategic and team-minded Advancement Data & Operations Manager to join our Advancement team. This key role is responsible for managing our advancement database (Raiser's Edge), overseeing all aspects of gift entry and donor acknowledgements, supporting prospect research, and ensuring data-driven decision-making through accurate reporting and analytics.

The ideal candidate will have a strong understanding of fundraising best practices, including moves management, and be comfortable supporting the cultivation, solicitation, and stewardship of donors through data. They will also be a collaborative team player who enjoys engaging with colleagues and representing Advancement at school events.

KEY RESPONSIBILITIES Gift Entry and Acknowledgement
  • Process and record all charitable gifts and pledges in Raiser's Edge
  • Generate timely and personalized acknowledgement letters
  • Maintain accurate donor records and reconcile with the Business Office
Database and Data Management
  • Maintain accurate constituent data (alumnae, parents, students, faculty/staff, grandparents, donors, friends)
  • Develop and enforce data entry protocols to ensure consistency and integrity; perform regular data audits, updates and clean‑up
  • Create queries, exports, mailing lists, and reports to support fundraising and engagement efforts
Moves Management and Prospect Support
  • Support the Advancement team in tracking donor engagement, cultivation, and solicitation activity
  • Assist in managing and updating prospect pipelines within Raiser's Edge
  • Collaborate on strategy for door segmentation and outreach based on giving history and capacity.
  • Generate profiles and research reports to inform relationship‑building with key prospects
Reporting and Analytics
  • Prepare regular reports on giving, participation, and fundraising progress
  • Reconcile monthly gift records with the Business Office and provide audit support
  • Track pledges, recurring gifts, and outstanding balances, generate reminders as needed
  • Provide data for publications, surveys and strategic planning
Collaborative and Community Engagement
  • Work closely with Director of Advancement, President, Advancement Associate and Business Office
  • Support mailings, appeals, and donor communications
  • Participate in Advancement events such as Grandparents Day, Benefit Auction, and alumnae gatherings
  • Contribute to a positive and mission‑driven team culture
  • Perform other duties as assigned
QUALIFICATIONS Education
  • Bachelors degree with relevant experience required
Experience and Skills
  • Minimum 3 years of experience in advancement, development, or fundraising operations
  • Proficiency in Blackbaud Raiser's Edge (including NXT) is required
  • Understanding of moves management principles and fundraising strategy
  • Experience with data segmentation, reporting and analytics
  • Strong skills in Google Suite and Microsoft Office (especially Excel and Word), mail mergers, and general database management
  • Familiarity with Wealth Engine or other donor research tools
  • Experience in independent schools, higher education, or nonprofit advancement development
  • Excellent attention to detail and ability to manage multiple deadlines
  • Strong interpersonal and communication skills
  • Collaborative spirit with a desire to be part of a supportive and high functioning team
