Job Description & How to Apply Below

As an employee at Lime Media, you will be part of a fast-growing organization that values giving back, believing in something greater than yourself, and a never-ending quest for excellence. We bring imagination to life by customizing vehicles and building unique fabricated environments that create marketing activations nationwide. If you love working with skilled, passionate people in a fast-paced environment, then Lime Media is the place for you.

The Project Coordinator owns the procurement, vendor logistics, and supports client-facing communication cadence on assigned jobs, making sure the right materials show up verified, on spec, and on time, and that clients see consistent proof of progress throughout the build. This is not a craft role, and it is not the PM's coordination role either: you're not regulating the handoffs between departments, you're executing the tasks and cadence that make those handoffs land.

If you have a desire to become a project manager, this is your role. If you have run procurement or logistics on a construction site, in a fab shop, or on a production floor, and you know how to keep materials and communication moving without someone standing over you, this is your role.

You'll work directly with Lime's world-class project management professionals, supporting and learning from them as you help bring our unique vehicles to life for marketing activations at events like college bowl games, concerts, and conferences across the country.

The Coordinator is the client's steady drumbeat of visibility for photo updates and check-ins that land on schedule, not when convenient. That consistency is part of what keeps small issues from becoming client-facing incidents before they ever reach the PM.

What This Role Owns
  • Client Communication Cadence — Photo updates and client surveys go out on schedule, every week, without being chased.
  • Procurement Accuracy & Budget Adherence — Every item procured matches scope and spec, stays within budget, and is documented with receipts, returns, and refunds handled cleanly.
  • On-Time Fulfillment — Pack Lists are complete and accurate ahead of kickoff; procured items arrive in line with the production schedule.
  • Receiving & QC — Every incoming order is verified, damage-checked, and photo-documented before it reaches the shop floor.
How Authority Works In This Role

The Project Coordinator executes and escalates; this role does not carry decision authority over scope, vendors, or schedule. When a procurement or vendor issue puts a Pack List or deadline at risk, the Project Coordinator's job is to see it early and flag it to the PM, not to resolve it by unilaterally changing scope or redirecting a vendor. The Project Coordinator owns the accuracy and cadence of the work;

the Project Manager owns the decisions that work feeds into.

Experience & Background
  • 1 year of experience or equivalent internships in project support for construction, fabrication, or production environment. This is the baseline we're hiring for.
  • Experience with experiential marketing, set design, branded environments, or events production is a strong plus, not a requirement.
  • Demonstrated ability to manage vendor relationships and purchasing with accuracy under deadline pressure.
  • Demonstrated ability to track budgets, receipts, and documentation without things slipping through the cracks.
  • Demonstrated ability to communicate consistently and proactively with clients and internal teams.
  • Demonstrated ability to manage tasks and report on work.
  • Google Workspace and project management software experience.
Credentials
  • Field experience is the real credential here. An Associate's degree is a nice-to-have, not required.
  • A bachelor's degree in construction management is a nice-to-have, not required.
  • Familiarity with PM methodologies or Lean concepts (visual management, flow) is a plus, not required.
Behaviors & Characteristics
  • You're obsessive about follow-through: cadence items (photos, surveys, receipts) go out on time because you track them, not because someone reminds you.
  • You catch problems (damage, discrepancies, missing items) before they become the shop's problem.
  • You're organized enough to run procurement across multiple concurrent projects without losing track of any one of them.
  • You communicate constantly and in writing: status updates, blockers, and decisions are documented, not just remembered.
  • You don't know it all but you want to evolve and learn what is needed to be a next-level project manager.
