Overview

Garg Consulting Services, Inc. is a civil engineering consulting firm delivering transportation infrastructure projects across the Northeast. We are seeking a highly organized and detail-oriented Office Coordinator to provide daily administrative and operational support across multiple departments. This role is ideal for a proactive professional with strong communication skills who thrives in a fast-paced office environment.

Responsibilities

Administrative & Operational Support

  • Provide administrative support including scheduling, calendar management, and document preparation
  • Coordinate meetings and prepare meeting materials
  • Manage professional correspondence via email, phone, and written communication
  • Answer and route incoming phone calls, serving as a professional first point of contact
  • Coordinate domestic travel arrangements
  • Provide cross-functional administrative support to HR, Accounting, and Engineering Teams

Office Operations & Facilities Coordination

  • Serve as the primary point of contact for office facilities and day-to-day building needs
  • Coordinate with property management and external vendors for maintenance, cleaning, utilities, and repairs
  • Submit, track, and follow up on facilities and maintenance requests
  • Support office safety, cleanliness, and overall workplace readiness
  • Assist with office moves, workstation setup, and space organization
  • Maintain vendor contact information, service schedules, and facilities related documentation
  • Order office supplies and manage inventory for common areas and work spaces

Events & Workplace Experience

  • Coordinate bi-weekly office lunches, including food ordering, setup, and cleanup
  • End-to-end management of company functions
Required Qualifications
  • 2–4 years of experience in administrative support or office administration
  • Associates degree (A.S.) or higher required
  • Strong organizational and time management skills
  • Excellent verbal and written communication
  • High attention to detail and accuracy
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with scheduling and document preparation
  • Ability to multitask, prioritize, and meet deadlines
Physical Requirements
  • Ability to lift and carry up to 25 pounds occasionally, with or without reasonable accommodation
  • Ability to sit, stand, and walk for extended periods during the workday
  • Ability to use standard office equipment and perform repetitive computer-based tasks

  • Experience in engineering, construction, architecture, or professional services
