Overview
Garg Consulting Services, Inc. is a civil engineering consulting firm delivering transportation infrastructure projects across the Northeast. We are seeking a highly organized and detail-oriented Office Coordinator to provide daily administrative and operational support across multiple departments. This role is ideal for a proactive professional with strong communication skills who thrives in a fast-paced office environment.
ResponsibilitiesAdministrative & Operational Support
- Provide administrative support including scheduling, calendar management, and document preparation
- Coordinate meetings and prepare meeting materials
- Manage professional correspondence via email, phone, and written communication
- Answer and route incoming phone calls, serving as a professional first point of contact
- Coordinate domestic travel arrangements
- Provide cross-functional administrative support to HR, Accounting, and Engineering Teams
Office Operations & Facilities Coordination
- Serve as the primary point of contact for office facilities and day-to-day building needs
- Coordinate with property management and external vendors for maintenance, cleaning, utilities, and repairs
- Submit, track, and follow up on facilities and maintenance requests
- Support office safety, cleanliness, and overall workplace readiness
- Assist with office moves, workstation setup, and space organization
- Maintain vendor contact information, service schedules, and facilities related documentation
- Order office supplies and manage inventory for common areas and work spaces
Events & Workplace Experience
- Coordinate bi-weekly office lunches, including food ordering, setup, and cleanup
- End-to-end management of company functions
- 2–4 years of experience in administrative support or office administration
- Associates degree (A.S.) or higher required
- Strong organizational and time management skills
- Excellent verbal and written communication
- High attention to detail and accuracy
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with scheduling and document preparation
- Ability to multitask, prioritize, and meet deadlines
- Ability to lift and carry up to 25 pounds occasionally, with or without reasonable accommodation
- Ability to sit, stand, and walk for extended periods during the workday
- Ability to use standard office equipment and perform repetitive computer-based tasks
- Experience in engineering, construction, architecture, or professional services
- Event planning experience
