Job Title: Sales Coordinator

Reports To: Director of Sales and Marketing

FLSA Status: Salaried Non-Exempt

1st Shift Monday - Friday 8:00 AM to 5:00 PM Summary

The Sales Operations Coordinator provides administrative and operational support to the Sales Team, ensuring day-to-day activities run efficiently and customer-facing initiatives are executed seamlessly. This role serves as the primary point of coordination for sales support functions, including reporting, presentation logistics, customer meeting preparation, charitable donation requests, and general administrative responsibilities. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities

  • Serve as the primary administrative support resource for the Sales Team.
  • Manage day-to-day clerical functions, including data entry, document preparation, filing, and maintaining sales records.
  • Pull and distribute sales reports, customer analytics, and other business data as requested.
  • Coordinate and organize customer presentations, ensuring all logistics are completed on time.
  • Prepare and maintain presentation materials, including PowerPoint presentations, product information, samples, promotional items (SWAG), and other supporting materials.
  • Maintain an organized inventory of presentation materials and coordinate replenishment when necessary.
  • Schedule meetings, reserve conference rooms, and coordinate meeting logistics for internal and customer-facing meetings.
  • Attend meetings as requested and prepare accurate meeting minutes, action items, and follow-up documentation.
  • Coordinate charitable donation requests, ensuring requests are processed according to company policies and timelines.
  • Assist with customer events, trade shows, and other sales and marketing initiatives as needed.
  • Support the Sales Team with special projects and administrative tasks to improve efficiency and organization.
  • Maintain confidentiality while handling sensitive customer and company information.
  • Collaborate with cross-functional teams including Marketing, Customer Service, Operations, and Research & Development to support sales initiatives.
