Overview

Reporting to the Director of Marketing, the Marketing Events Coordinator plays a key role in planning, managing, and executing the firm’s events and related initiatives. This role requires ownership of assigned projects from concept through completion, collaboration with internal and external stakeholders, and a strong commitment to delivering exceptional client focused experiences.

The successful candidate will represent the firm and run events as a professional and polished ambassador. They will thrive in a fast paced environment, demonstrate exceptional administrative and organizational skills, and consistently maintain a high level of accuracy and attention to detail.

Key Responsibilities
  • Support the Director of Marketing in implementing strategic plans for annual firm events
  • Plan, organize, and execute in-person and virtual events, lunch and learns, webinars, sponsorship activities, receptions, etc., from start to finish
  • Collaborate closely with the Marketing Team for graphic creation and copy related to events
  • Create social media copy for pre‑event promotion, live coverage, and post‑event highlights, including capturing photos and video onsite
  • Manage special mailings and lists for holiday cards, marketing gifts, etc.
  • Manage all promotional/swag projects for internal and external events
  • Coordinate with vendors, partners, and stakeholders to ensure seamless event execution
  • Source, recommend, and negotiate contract pricing at appropriate venues
  • Create designs for swag and presentations related to events to ensure brand consistency
  • Assist with event budget planning, monitoring, and manage project timelines
  • Use project management tools to plan, track, and communicate progress while proactively identifying and resolving potential issues
  • Conduct post-event reporting and analysis, measuring performance against key metrics and objectives
  • Coordinate, schedule, and facilitate internal and external meetings
  • Maintain and update the Marketing Team’s database
  • Process invoices, maintain budget documentation, and prepare budget reports
  • Work closely with third-party vendors to support marketing initiatives
  • Perform other duties as required
Education/Experience
  • Minimum 2 years of marketing and event planning experience in a professional services environment, preferably in a law firm
  • CRM experience is required (Hub Spot preferred)
  • Experience capturing event content, including photography and videography
  • Proficiency with Microsoft Office Suite, Zoom, etc., and the ability to learn new software and operating systems (e.g., Adobe Express, Kofax Power PDF, Word Press, , Hootsuite, etc.)

  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Works effectively both independently and within a team
  • Ability to handle sensitive matters and maintain confidentiality
  • Flexibility to adjust work hours to support business and event requirements
