The Pontifical University of St. Thomas Aquinas (Angelicum) is an international Dominican institution in the heart of Rome, welcoming students, faculty, and researchers from nearly 100 countries. Within this vibrant and multicultural environment, we are seeking a Secretary to support the administrative and academic activities of three Institutes:
Ecumenical Institute, Institute for Interreligious Relations and Institute of Spirituality.
We are looking for a Secretary with at least 2–3 years of experience in administrative roles, ideally in academic or ecclesial institutions. Fluency in Italian and English (C1) is essential. The role requires experience supporting multiple stakeholders and the ability to manage parallel workflows with clarity and professionalism. This position demands strong organization, precision, multitasking, and daily coordination with three Directors in a dynamic, international, and Catholic academic environment.
Key Responsibilities:
Administrative support: daily assistance to the Directors; correspondence; preparation of documents, reports, minutes, and internal communications.
Calendar & meetings: scheduling, appointments, meeting coordination, organized digital and physical archiving.
Front-office & inquiries: handling phone calls, reception tasks, and interactions with students, faculty, and guests.
Event support: administrative support for seminars and conferences; communication with speakers and participants; preparation of materials; registration management; collaboration with the University’s Event Coordinator.
Communications & promotion: dissemination of Institute activities; preparation of announcements, brochures, and emails; updates to website, newsletters, and mailing lists.
Networking & institutional relations: maintaining relationships with dioceses, academic institutions, ecclesial bodies, faculty, and partners.
Student & academic support: assistance with academic processes, documentation, and coordination with central offices.
Administrative procedures: ensuring correct application of internal policies; supporting data collection and administrative workflows.
Requirements:2-3 years administrative/secretarial experience
Ability to manage parallel workflows and support multiple stakeholders
Excellent organization and multitasking
Strong communication skills
Proficiency in Microsoft Office & Google Workspace Fluency in Italian and English (C1)
Comfort in a Catholic Pontifical University environment
Experience in international environments is appreciated
