We are seeking a proactive and detail-oriented Corporate Fleet & Travel Specialist to oversee the day-to-day management of the Company's fleet and business travel activities, ensuring operational efficiency, cost control and a high level of internal customer service.
The successful candidate will support fleet operations, supporting employees with business travel arrangements, managing relationships with external suppliers and monitoring key performance indicators to drive continuous improvement.
Reporting to the Corporate Supply & Operations Coordinator, the Corporate Fleet & Travel Specialist will:
Support the assignment, replacement and return of company vehicles, including company cars assigned for business and mixed use.
Coordinate the assignment and management of fuel cards.
Monitor scheduled maintenance, inspections, tyre replacements and other fleet-related deadlines, ensuring full operational continuity.
Support employees in the management of vehicle breakdowns, accidents and other fleet-related issues.
Coordinate operational relationships with long-term and short-term rental companies, fuel card providers and other mobility suppliers.
Support employees in the use of the Company's travel booking platform (Biz Away) for flights, rail tickets, hotels and car rentals.
Act as the primary point of contact with the Company's Travel Management Company and travel service providers.
Monitor and coordinating the renewal of corporate agreements with airlines, railway operators, hotel chains and car rental companies.
Support the organisation and management of group travel and assisting employees in resolving travel disruptions and last-minute changes.
Monitor fleet costs and travel expenses through regular reporting and KPI analysis.
Collaborate with internal stakeholders to continuously improve fleet and travel processes and employee experience.
Minimum of 1–2 years' experience in a similar role, preferably as a Fleet Specialist, Corporate Travel Specialist or Business Travel Agent.
Good knowledge of travel booking platforms, preferably Biz Away.
Familiarity with fleet management systems, preferably Ayvens and DKV.
Strong analytical skills with experience monitoring costs, KPIs and operational performance.
Advanced knowledge of Microsoft Excel and good reporting capabilities.
Experience managing supplier relationships and negotiating commercial agreements.
Good command of English, both written and spoken.
Excellent organisational and planning skills.
Excellent communication and interpersonal skills with a service-oriented approach.
Strong negotiation and supplier management abilities.
Proactive attitude with a continuous improvement mindset.
High level of accuracy, reliability and attention to detail.
Ability to remain calm and effective when managing travel emergencies or operational issues.
