We are looking for a highly organized and proactive Office Manager (m/f/d) at our office in Rome in Italy to support our operations in Italy. In this role, you will ensure the smooth day-to-day running of the office and provide essential administrative, operational, and employee-related support. You will work closely with local teams as well as international stakeholders and play a key role in creating an efficient and well-structured working environment.

Your responsibilities:
* Oversee daily office operations and provide administrative support to the team
* Manage office supplies, equipment, contracts, renewals, and payments
* Coordinate correspondence, shared inboxes, meetings, travel, and documentation
* Monitor deadlines, approvals, compliance, and health and safety topics; act as the official RLS (Health & Safety Representative) for UKA Italia
* Support onboarding, offboarding, time tracking, and HR-related processes
* Process invoices, budgets, expenses, timesheets, and cash records in Excel, including monitoring the electronic invoicing portal (SDI)
* Coordinate IT, meal vouchers, invoicing, vehicles, and insurance matters
* Prepare reports and presentations, meeting minutes, support events, and liaise with external associations such as ANEV and Italia Solare
* Serve as the main point of contact for marketing-related activities and coordinate with the communications team at HQ

Your profile:

* 3-5 years of experience in office management, executive assistance, or administrative leadership, ideally in the renewable energy industry
* Strong proficiency in Microsoft Office Suite; accounting and AI knowledge is a plus
* Ability to work effectively in a fast-growing, dynamic environment with changing priorities
* Strong sense of ownership and the ability to independently organize, follow up on, and complete tasks
* High level of reliability, accuracy, and attention to detail
* Service-oriented mindset with strong organizational, multitasking, and problem-solving skills
* Excellent written and verbal communication skills in Italian and English
* High level of discretion and professionalism when handling sensitive information
* Experience working in a remote environment and effectively collaborating with virtual teams We offer to you:
