Operations Coordinator, Petroleum – Romeoville, Illinois

Intertek, a leading provider of quality and safety solutions, is actively seeking a Courier to join our Caleb Brett team at our Romeoville, IL facility.

Intertek Caleb Brett provides specialized cargo inspection and analytical assessment services to the oil and gas, chemical, and other commodities markets, with a global network of laboratories and 24/7 availability.

The Operations Coordinator is responsible for reviewing and accepting nominations from clients, writing job instructions for inspection and laboratory teams, providing timely updates to clients, invoicing jobs, and building relationships with clients.

• Manage job nominations and assignments for a specific branch office, area or region.
• Act as the single point of customer contact for business related to that branch office.
• Record details of the nomination on a job order, enter each job into a record kept for the purpose, and record a unique identifier.
• Review client instructions and identify potential operational, conflict of interest, ethics or compliance issues, and alert relevant parties.
• Act as decision maker and problem solver on customer job nominations or assignments.
• Be familiar with the client’s Intertek agreement and coordinate communications between the client and Intertek personnel.
• Advise the Corporate Contract Administrator at Houston Headquarters of any contractual issues.
• Maintain flow of communication between parties involved in job assignments and resolve problems responsively.
• Coordinate with corporate business development to derive an overall marketing plan for particular customers.
• Collect information from Inspectors, communicate with the laboratory regarding analysis performed, and assemble a final report ready for publishing.
• Manage account receivable balances and maintain accurate records on closed jobs for billing, volume reconciliation, and claims handling.
• Access necessary personnel and services to complete the customer assignment.
• Perform non-discretionary functions, including duties of a Dispatcher and Branch Sales, not exceeding 25% of work time.
• Perform annual performance appraisals in accordance with supervisory responsibility.

• Two years of experience in an inspection company, and knowledge of basic contract do’s and don’ts.
• Sound knowledge of petroleum and chemical inspection procedures.
• Understanding of client business requirements relative to service purpose.
• Working knowledge of testing commodities and significance of quality test data.
• Able and willing to travel, build customer relationships, and help with company growth.
