CIC Industries is a commercial flooring contractor serving multifamily and property management clients across Southeast Michigan. As our Scheduling Coordinator, you'll be the operational backbone that keeps our field crews moving and our clients informed. You'll sit at the intersection of sales, field operations, and customer communication — making sure every job is scheduled, confirmed, and followed through from intake to completion.

Responsibilities
  • Answer incoming calls and schedule jobs as they come in
  • Manage and maintain the scheduling inbox, ensuring timely responses and accurate records
  • Work closely with the sales team to confirm new jobs are properly scheduled and handed off
  • Schedule jobs logistically pertaining to size and location
  • Call properties 48 hours prior to install to make sure properties are ready
  • Send occupied forms to property managers and assure proper documentation is collected
  • Rearrange and adjust the schedule in real time as jobs close out, shift, or change in need/resources
  • Serve as the liaison between our office and customers — fielding calls, troubleshooting issues, and coordinating with field staff as needed
  • Place purchase orders for carpet, padding, hard surface and sundry items
  • Responsible for procurement of tools and office supplies
  • Work with vendors on product and freight costs
  • File completed jobs and keep records up to date
  • Responsible for setting up new properties in Mobile Measure
  • Manage product pricing in our system
  • Own the installer supply sheets and create work orders
  • Manage front-door deliveries and handle related logistics
Qualifications
  • A professional, can-do attitude and the ability to stay calm when priorities shift
  • Strong communication skills — you'll be talking to property managers, field crews, and the sales team daily
  • Comfort with phones and email; ability to juggle multiple tasks without dropping the ball
  • Prior experience in an office or administrative setting
  • Scheduling, dispatch, or purchasing experience is a big plus
  • Flooring, construction, or property services industry experience is highly valued
  • Basic computer skills; experience with scheduling or job management software is a bonus
