Overview
The EMS Scheduler serves as a critical operational hub, ensuring optimal staffing levels across all shifts by balancing operational demands with employee availability. This role operates in a fast‑paced EMS environment while acting as a vital bridge between staff, Operations, and Human Resources to maximize business, drive staffing efficiency, and control labor costs.

- Partner directly with the Director of Operations to ensure staffing levels meet daily deployment needs and service level expectations, providing regular updates on staffing shortages, overtime utilization, labor costs, and operational bottlenecks.
- Coordinate shift pickups and fill vacancies caused by call‑outs or emergencies and proactively implement solutions.
- Build and maintain the master schedule in Telestaff, managing real‑time adjustments and shift swaps, maintaining system accuracy, configuring rules, and troubleshooting software issues as they arise.
- Administer all timekeeping functions including time‑off requests in UKGWFM based on strict adherence to company policy, staffing quotas, and seniority rules.
- Partner with Payroll to review and approve employee timecards in UKG ensuring hours worked align with the schedule.
- Collaborate with HR on attendance tracking, leaves of absence and onboarding schedules.
- Monitor daily attendance records and issue disciplinary points for policy violations.
- Maintain employee credentials (licenses/certifications) within the system to ensure compliance.
- Regularly required to use hands to type; regular hearing and speaking.
- Required to sit for periods at a time.
- Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- 1-2 years of experience in workforce scheduling or staffing coordination, preferably in an EMS environment.
- Proficient-level knowledge of UKGWFM and Telestaff software is required.
- Strong ability to operate independently in a fast‑paced environment.
- Ability to communicate effectively, verbally and written, with both employees and leadership.
- Exceptional attention to detail for managing complex rosters and payroll data.
