Position: Membership and Operations Coordinator (Hybrid)

The American Shoulder and Elbow Surgeons (ASES) is a leading professional medical society dedicated to advancing the science and practice of shoulder and elbow care. Through education, research, advocacy, and collaboration, ASES supports orthopaedic surgeons and allied professionals in delivering the highest quality patient care.

The Membership & Operations Coordinator plays a vital role in ensuring the smooth execution of ASES membership services, committee initiatives, educational programs, financial tracking and other operational activities. This position coordinates a wide variety of detailed administrative and project management responsibilities aligned with association management best practices and ethical standards.

The ideal candidate is highly organized, detail-oriented, service-driven, and comfortable managing multiple priorities in a fast-paced professional association environment.

RESPONSIBILITIES:

Membership & Member Services

  • Coordinate membership application review and communications
  • Maintain member records and manage dues billing support
  • Provide timely, professional customer service
  • Collaborate in the development and implementation of new strategies to enhance
  • recruitment and retention rates
  • Draft and distribute member correspondence

Committee & Program Support

  • Schedule meetings, prepare agendas, take minutes, and track action items
  • Support internship, scholar, and traveling fellowship programs
  • Coordinate domestic and international fellowship logistics
  • Assist with committee volunteer management and podcast scheduling

Financial & Administrative Support

  • Create invoices and assist with reimbursements
  • Track payments and support monthly reconciliation reporting

Education & Events Support

  • Coordinate registration and on-site logistics for meetings
  • Manage materials shipping and event reporting

General Operations (20%)

  • Manage inbox communications and correspondence
  • Maintain rosters, procedures, and project timelines
  • Support leadership and special projects assigned

Complies with all safety policies and practices of the organization and all safety standards associated with this position, including the use of personal protective equipment.

QUALIFICATIONS:

§ Undergraduate degree or equivalent work experience.

· 2+ years of administrative and project management experience; association or nonprofit experience preferred;

· Proficient in Microsoft Office and familiarity with membership databases and CRM systems;

· Excellent member service mentality and delivery;

· Effective verbal and written communications;

· Strong organization and interpersonal skills.

· Ability to think proactively and creatively.

· Must excel in a fast-paced, team-oriented environment.

· Cooperative, supportive, and “can do” attitude is crucial to success.

· Integrity and credibility with leaders, members, vendors, and staff.

· Bulk e-mail software, website maintenance software and social medial platforms desired but not required.
