Position OverviewUnder the supervision of the Assistant Director/Principal, the Administrative Assistant II completes data entry requests, maintains records, reports, database records and files, provides general information for staff, students, parents, and the general public, and performs related work as assigned. The role requires business English, spelling and arithmetic, organizational skills coordinating workflow and activities, and general knowledge of office equipment, computers, and various software programs including accounting software.
The individual must analyze and interpret policy and procedural guidelines, type at a reasonable speed, prepare effective correspondences, and manage routine office details independently. Clear and effective communication, both oral and written, is essential for building and maintaining effective working relationships with school personnel, students, parents, and the general public.
- Perform program-specific administrative functions; compose, review, and edit correspondences and reports with consistency.
- Complete financial transactions with public and district personnel.
- Act as a resource and secretary for department staff, assisting them with daily duties and preparing presentations, notes, and publications.
- Act as a resource for parents, students, non-district staff, and the general public to provide information and facilitate access to district programs and services.
- Obtain and maintain student records; process applications and record requests.
- Answer phones, transfer calls, or take messages.
- Coordinate purchase of supplies and monitor/track budget expenditures.
- Assist in recording, updating, and maintaining files.
- Coordinate arrangements and communication supporting student transportation to district programs.
- Perform other job-related duties as assigned.
- High school diploma or GED with experience as an administrative assistant in a school setting preferred.
- Self-starter with a positive attitude.
- Evidence of strong written and verbal communication and organizational skills.
- Excellent computer skills, proficient in Word, Excel, and Google Docs.
- Ability to learn web based programs such as SPED Forms, Infinite Campus, and TOC.
- Problem-solving ability and ability to arrange staff coverage in coordination with Frontline under short-notice deadlines.
- Team‑working ability with staff, parents, and community members.
- Ability to interact and build positive relationships with students of varying ability levels and skills.
- Regular sitting, reaching with hands and arms.
- Occasional exertion of up to 25 pounds of force, standing, walking, crouching, pushing, pulling, and lifting.
- Standard vision requirements; vocal communication and hearing required for expressing or exchanging ideas and perceiving information.
- Work is generally in a moderately quiet location.
