JOB DESCRIPTION
LOCATION:

Primary
Purpose:
To assist in the administration of the payroll functions of the District in a manner that preserves confidentiality and projects a professional image of the department.
- Perform all job duties in a confidential and responsible manner, demonstrating good judgment.
- Respond to general employee inquires and further direct specific inquires to appropriate staff.
- Process timecards/timesheets.
- Ensure accuracy of attendance records (UKG) for all employees for compliance with Federal Wage and Hour Laws.
- Assist Payroll Specialist-Instructional with the processing of payroll.
- Maintain records per the District’s record retention schedule.
- Maintain over payment spreadsheet and issue over payment letters.
- Process and review bus trip information.
- Assist with the training of all campus and departmental staff responsible for time keeping procedures.
- Maintain spreadsheet for sick leave bank as per board policy.
- Serve as back up in the absence of other departmental staff.
- Maintain confidentiality of department information.
- Attendance at work is an essential function.
- Perform other duties as assigned by the Payroll Coordinator or designee.
- Accounts payable experience preferred
- High school diploma
- 15 credited college hours or three years of experience as an administrative assistant or similar office experience preferred
- Knowledge of payroll and accounting procedures including federal and state laws pertaining to the process
- Knowledge of Federal Wage and Hour laws
- Ability to exercise independent decision making
- Ability to stay informed of new rules and regulations as relating to the payroll function
- Ability to communicate effectively and courteously with district personnel
Computer for specialized data entry, word processing, spreadsheet applications, printer, typewriter, copy machine, calculator, telephone, check sealer/mailer.
Working Conditions Mental/Physical Demands/Environmental FactorsLight lifting and carrying (under 15 pounds), use of fingers, walking, specific visual requirements (using computer), specific hearing requirements (telephone conversations).
