The Logistics Coordinator is a key member of the Regional Service department and supports both Service and Project operations. This role is responsible for logistics coordination, inventory management, procurement support, shipment tracking, ERP transactions, and proactive communication related to parts, materials, and service operations. The position reports directly to the Service Director Americas and works closely with Service Coordinators, Project Managers, Service Managers, vendors, freight forwarders, subcontractors, and international offices.
This is a highly operational, ownership-driven role requiring independent problem-solving, urgency, organization, and proactive communication.
- Organize courier shipments and freight forwarding activities
- Coordinate domestic and international shipments including air, ground, freight, and oversized shipments
- Manage urgent same-day and next-flight-out shipments for critical outages
- Prepare shipping documentation including:
- Packing lists
- Coordinate customs brokers when required
- Maintain tracking logs and shipment documentation
- Provide photo documentation of outbound shipments
- Manage delivery confirmations and proactive delay communication
- Support preparation for PMs, outages, overhauls, and projects based on service orders
- Own the ITT process and replenish used stock within established timelines
- Monitor stock levels for spare parts, tools, and consumables
- Perform regular stock counts and maintain stock kit records
- Manage inbound and outbound inventory transactions within the ERP system
- Book incoming and outgoing goods while ensuring accurate administrative processing
- Establish and maintain inventory control processes
- Manage min/max inventory levels and initiate replenishment activities
- Generate low stock alerts and proactive replenishment actions
- Conduct audits of regional stock locations
- Maintain IC/KEM and ETM turning logs
- Manage FVP transactions and inventory accuracy within the system
- Escalate material shortages, forecast risks, and supply constraints to leadership
- Raise and process purchase orders
- Coordinate with vendors and subcontractors regarding deliveries and issue resolution
- Track shipments and communicate delays proactively to Service and Project teams
- Support financial reporting related to purchase orders and cash-flow updates
- Serve as a primary contact for suppliers, freight forwarders, logistics partners, service engineers, and service managers
- Provide timely updates regarding:
- Order status
- Inventory availability
- Shipment tracking
- Logistics planning
- Escalations
- Ensure all parts requests are acknowledged and tracked through completion
- Clearly communicate:
- Receipt confirmation
- Action plans
- ETA updates
- Utilize visible tracking systems to maintain accountability and transparency
- Escalate critical issues through direct communication methods when needed, not solely through email
- Strong logistics coordination and inventory management experience
- Knowledge of shipping methods, freight coordination, and international logistics
- Experience working within ERP systems and Microsoft Office applications
- Strong organizational and multitasking abilities
