Multi-State Payroll & Billing Specialist

Responsibilities for Payroll & Billing Specialist:

• Process full-cycle payroll for employees across multiple states in a timely and accurate manner
• Ensure compliance with federal, state, and local payroll regulations
• Manage payroll deductions, taxes, garnishments, and benefits administration
• Generate and manage client invoices, ensuring accurate billing based on timekeeping data
• Monitor accounts receivable, follow up on outstanding balances, and resolve billing discrepancies
• Reconcile payroll and billing records and assist with month-end close activities
• Respond to employee and client inquiries regarding payroll and billing issues
• Partner with HR and accounting teams to ensure data accuracy and process efficiency
• Report to department supervisor timekeeping issues
• Work directly with contractors to resolve weekly issues
• Prepare reports to relevant departments about payroll, invoicing, and expense issues
• Create invoices for customer using payroll registers
• Communicate with customers directly in regards to invoices, payments, and other account items that arise
• Other related duties as assigned.

Qualifications for Payroll & Billing Specialist:

• Minimum 3 years of payroll experience, including multi-state payroll processing
• Minimum 3 years of billing experience
• Experience with accounts receivable and collections processes
• Hands-on experience with Quick Books (required)
• Associate’s degree required;
  Bachelor’s degree preferred (Accounting, Finance, or related field)
• Strong understanding of payroll regulations and compliance requirements
• High level of attention to detail and accuracy
• Strong Excel skills and overall technical proficiency
